The individual will also assist the Grant Manager in preparing and reconciling monthly BEN/Business Object reports, prepare and enter journal entries and other financial transactions with BEN Financials, Concur and PennWorks. Will provide financial monitoring and reporting for sponsored programs including foundations, federal and other agencies. Post award duties include award set up and management for financial and regulatory compliance, meeting regularly with investigators for expense reporting and projects, and processing reports and transactions, including subcontract activity from start to close out.Job Description

Provide overall stewardship for administration and finance of Sponsored Research Programs from pre-award to post-award (includes funds both internal and external to Penn) for Cardiovascular Division under supervision. Support Grant Managers and PIs with pre-award submission and post-award management of federal grants and industry awards (clinical trial invoicing, setting up RBNs, review accounts for the study related patient expenses and follow up with the sponsor regularly regarding invoice payments etc.). Exercise responsibility for issues of finance and reporting, compliance, administration, procurement services, and maintenance in support of sponsored research. Provide technical, logistical, and administrative support to PIs and other research personnel on grant proposal submissions to a diverse sponsor portfolio. Provide guidance to PIs on what to include in their budgets. Ensure proposals are submitted in a timely fashion and in accordance with Penn & sponsor policies. Coordinate with staff at other schools as needed for interdisciplinary research efforts. Consult with the sponsor when necessary to ensure that guidelines are followed properly. Ensures proposals are in accordance with University and Sponsored policies, while working on multiple projects simultaneously. Submit proposals in PennERA as needed for pre-award, create budget, communicate with subaward sites, and put together RPPR submissions working with PI and Grants Manager. Work on subcontracts including set-up & communication with external sites, internal forms to Penn ORS, and creating PO/invoicing on PO. Support Division with Federal disclosures (FCOI) process/RIA. Assist with post-award activities (e.g., subcontracts, reconciliation, etc.) and payroll as needed. Support service center activity including invoicing, tracking payments, monthly reporting, and managing iLAB financial activity. The Grants Coordinator must be able to track study payments through the University’s system and budget funds based on initial study proposal. They will coordinate allocated funding of payroll support for the clinical trials. The Grants Coordinator must review family accounts for the study related patient expenses and follow up with the sponsor regularly regarding invoice payments.
This position reports to the Director of Fiscal Operations for Research within the department and has a dotted reporting line to the PSOM Office of Research Support Services.
Qualifications
Bachelor’s Degree with 2-3 years of related experience or equivalent combination of education and experience is required. Experience in supporting pre and post award management for federal and non-federal awards and strong financial background (accounts payable activity, financial reporting, and reconciliation) preferred. Trained on BEN financial systems, PennERA Proposal Development system, and Business Objects desirable. Detail oriented, self-starter, capable of working with faculty and team player.
