Clark University seeks a Director of Operations and Office Assistant to provide
expert support for the Office of General Counsel (OGC), while also providing high-level administrative support for the Board of
Trustees’ office. Reporting directly to the Vice President, General Counsel and Secretary of the University (GC), the incumbent
handles legal research related activities, as well as contract, records and project management support services. As a part of the
responsibilities, there will be regular engagement with and periodic administrative support for Clark’s Executive Vice
President/Treasurer (EVP), who provides administrative oversight for three (3) Board of Trustees committees. As such, the incumbent must
have the ability to steward complex, confidential and highly-sensitive information and relationships.
Administrative responsibilities
for this position include project support; organizing and staffing special events; creating polls, surveys and memorandums, preparing
meeting agendas, minutes and related materials; maintaining calendars and booking travel; processing payments and expense reports through
electronic purchasing and ordering supplies; receiving and screening office inquiries; processing mail/email; database management; tracking
progress and taking initiative to ensure matters pending are completed in a timely fashion; and greeting guests with minimal
supervision.
A minimum of 5 years of administrative experience in similar or related work, with preferred experience working in an
academic environment and/or with executives. Expertise in the Microsoft Suite (particularly Word and Outlook), as well as creating and
managing virtual meeting platforms (Zoom and Teams), including the creation of breakout rooms and utilizing polling featuresis required.
Experience with contract drafting, performing research activities, navigating and managing databases are preferred. Exceptional attention to
detail, impeccable oral and written communication skills, and the diligence and patience to perform expert research from a variety of
sources and create summary and opinion memorandums are essential to succeeding in this role. Perhaps most importantly, the selected
individual must possess the ability to maintain confidentiality and discretion at all times and handle sensitive information with
confidentiality and tact. Occasional availability for work during evening and weekend hours, required, as well as a bachelor’s
degree.
