Job Summary/Description:
Under general supervision, responsible for planning, organizing, directing, and evaluating the daily activities and operations of the Office of the Registrar.
Typical Duties/Job Duties:
1. Supervises maintenance of the automated student records system, office records, and related files; ensures adherence to confidentiality and records management policies and procedures; serves as security and access officer for the student records database. Monitors Federal Educational Rights and Privacy Act (FERPA) compliance; oversees the providing of information to students, parents, and others concerning registration, student records, and other related matters.
2. Manages the registration and scheduling processes; oversees the maintenance of the online academic calendar; supervises the review of academic records and notification of students on probation or suspension. Supervises the student withdrawal appeals process. Coordinates preparation of electronic versions of the schedule of classes each semester; coordinates and supervises the assignment of classrooms and the scheduling of classes.
3. Supervises the compilation of registration data and prepares or generates recurrent reports; submits reports to state and federal agencies, departments, and others. Supervises the certification of student enrollment for lending agencies, Veteran’s benefits, and athletic program eligibility (NCAA); oversees the determination of eligibility, notification, and recording of course credit by examination.
4. Oversees the preparation, coordination and execution of the commencement ceremonies.
5. Supervises the TSI assessment process for incoming undergraduate students.
Knowledge, Skills and Abilities:
Knowledge of general office procedures and practices
Knowledge of the principles of effective employee training and supervision
Knowledge of University registration requirements and procedures
Knowledge of FERPA rules and requirements and the Texas Tuition Rebate Program
Knowledge of University academic programs and extracurricular activities
Knowledge of Banner student information system software and automated registration systems
Ability to perform multiple tasks in a timely manner
Ability to perform mathematical calculations in an accurate manner
Ability to work independently and with a team while meeting work and project deadlines
Ability to manage human and financial resources effectively
Ability to perform work requiring accuracy and attention to detail
Ability to use a variety of computer software and office equipment
Skilled in oral and written communication
Skilled in interpersonal relations
Skilled in supervision and effective leadership of staff and student assistants
Minimum Qualifications:
Master’s degree from an accredited college or university.
Two years of supervisory level experience in university registration programs.
Experience using student information systems (SIS) software.
Preferred Qualifications:
Experience with Banner software system.
