Job Description Summary
The PPEH Program Coordinator runs the Program’s daily, weekly, monthly, and
annual administration, including Program budget, communications, events, undergraduate minor, and collaborative partnerships. This position
closely coordinates with the Faculty Director to support students, fellow, and faculty in their research, teaching, and public engagements.
Importantly, the Coordinator communicates Program activities with multimedia tools posted across multiple websites and social media
accounts, as well as promoting Program activities to the press.

Founded in 2014, the Penn
Program in Environmental Humanities (PPEH) fosters interdisciplinary environmental collaboration and scholarship at the University of
Pennsylvania, in Philadelphia, and beyond.
This position will provide administrative, financial, and communications support to the
Penn Program in Environmental Humanities, including financial management and payments to invited guests and community partners; program
promotion and communications, such as website development and maintenance, event invitations, and social media pushes; event coordination
and staffing; and research and academic coordination. The Coordinator will work in collaboration with multiple offices and teams across
Penn’s campus, as well as with community partner organizations located in Philadelphia and beyond. The PPEH PC’s duties fall into four main
areas: financials; communications; event coordination; and research, academic, and project coordination.

Responsibilities/Duties:
Financials:
Facilitate payments of speakers, invited guests, community partners. Complete
payments from internal grants to Program partners, oftentimes in installments that are untraditional in Penn’s financial systems. Work with
Regional Business Office to process and monitor transactions using various Penn systems (BEN Financials, Penn Marketplace, Concur, eShip,
PaymentNet), including speaker honoraria, travel and lodging, promotional materials, rentals, catering, research funds, office supplies, and
equipment; ensure appropriate budgets are charged. Oversee budget, including multiple external and internal grants, and ensure that funds
are spent and reported responsibly.
Communications and Outreach:
Develop compendium of PPEH publications using print,
digital, audio, video, and immersive tools and platforms to promote Program’s events, partnerships, and ENVH minor. Maintain and support
dynamic suite of PPEH channels, featuring creative research outputs made by PPEH researchers. Regularly update five program websites housed
on Drupal, WordPress, and SquareSpace. Develop, promote & maintain content for website, newsletters, brochures, email reminders, & social
media, posting & monitoring all public and internal events on digital media listings and internal calendars. Monitor & update all mailing
lists. Maintain & organize photo library. Monitor Program email and direct email inquiries to appropriate party.
Research,
Academic, Project, and Program Coordination:
Coordinate visits with domestic and international guest researchers, including
planning and executing the Visa application process. Manage project schedules and deadlines; ensure that work is done in timely fashion and
in compliance with relevant guidelines and regulations. Coordinate resources to support faculty, graduate students, and undergraduates with
their research projects; aid in planning and supporting public environmental humanities projects; support artists’ and researchers’
residencies in collaboration with Program faculty.
Event Coordination:
Coordinate logistics, venues, catering, and
audio-visual needs for all events, to include conferences, workshops, artist talks, guest lectures, faculty and fellow meetings. Work with
Faculty Director, student fellows, and visitors to book travel and accommodations for events. Staff events, including set-up and clean-up,
on-site registration (if necessary), and audience monitoring. Keep accurate records of registrations and attendance. Plan and execute events
to promote the Environmental Humanities minor and fundraise for the Program (for example, at Family and Alumni weekends); support events
co-hosted with partners.
Other duties as assigned
Qualifications:
Bachelor’s degree and 2 years of experience,
or equivalent combination of education and experience, is required. Essential qualifications also include: demonstrated background and
interest in environmental humanities, sciences or arts strongly preferred. Demonstrated problem-solving and decision-making skills are
essential. Familiarity with Penn is strongly preferred and with University systems such as Ben Financials, Penn Marketplace, and Concur. The
successful candidate must possess excellent interpersonal and written communication skills, organizational ability, and knowledge of an
array of print, digital, audio, and visual tools and platforms. Experience working with budgets strongly preferred. Must be a self-starter
who is able to interact professionally with diverse publics, including faculty and students; manage multiple and competing
priorities.
