The new Department of Cinema & Media Studies is a hub for the humanistic study of film, television, audiovisual artworks, material texts of various kinds, digital media, as well as environmental media. The intellectual core of the undergraduate and graduate programs places an emphasis on the history, theory, and critical analysis of film and media practice. Students are exposed to screenwriting and production as well as film and media theory, engaging critically with the study of national and global cinemas and film movements as well as with the long history of all manner of media. The Department is proud of its ambitious public-facing programming, including screenings; lectures; workshops; visits by artists, filmmakers and scholars; collaboration with various film clubs at Penn and film festivals across Philadelphia.
Duties:
We are searching for a highly motivated and organized individual to join our team as a Graduate Coordinator at the Department of Cinema & Media Studies (CIMS). As the Graduate Coordinator, you will play a pivotal role in the smooth functioning of our graduate programs. You will be at the forefront of our graduate recruitment efforts, overseeing the application process, and working with the Graduate Chair to schedule visits for prospective students. To support the graduate student experience, you will serve as a resource and point of contact for enrolled graduate students, providing support and guidance throughout their academic journey. You will oversee departmental communication with graduate students, manage course permissions, graduate forms, student records, applications for graduation, and the submissions of theses and dissertations. You will also manage graduate course listings, maintain graduate course inventory, and assist in the coordination of the three-year teaching plan at the graduate level.
To maintain and grow our online presence, you will take charge of managing our website and social media platforms including assisting in website development and maintenance of important CIMS announcements, events, news, and updates to engage current and prospective students. This responsibility includes organizing material and information to provide clear guidance to CIMS undergraduates, graduates and prospective students.
In addition to your work with the graduate programs, you will provide executive support to both the CIMS Graduate Chair and CIMS Chair. Another primary responsibility will be the coordination of appointments, promotions and tenure dossiers. Your close work with the Graduate Chair and Department Chair will be critical in maintaining the department’s daily functioning, providing an enriching learning environment for our students. You will be invited to participate and assist in the organization of various departmental events and social gatherings, fostering a sense of community and camaraderie among our students and faculty. The role also involves coordinating travel arrangements and reimbursements for faculty and sometimes for visiting scholars and invited speakers, ensuring that our guests have a seamless experience during their time at Penn.
Qualifications:
High School degree with 5-7 years of experience, or equivalent combination of education and experience, is required. Bachelor’s or graduate degree is strongly preferred.
An interest in cinema and media and a background in the Humanities are both preferred.
Must be highly organized, creative in problem-solving, and efficient in multitasking.
Experience working with diverse communities and creating inclusive environments.
Experience with basic web design (Drupal, for example) and video-editing is preferred.
Strong writing, proofreading and professional communication skills.
Ability to set and adjust priorities, learn new information quickly, be proactive and take initiative in problem solving while knowing when to delegate.
Ability to work successfully both independently and as part of a team.
Preferred candidates will have demonstrated cultural competencies and communication skills necessary to address a wide variety of questions from a varied and sophisticated audience.
Experience with event planning on a small and large scale is preferred.
Experience with reimbursements and a familiarity with Concur and BEN Financials preferred.
Experience with CLSS, Curriculum Management software, DegreeWorks and WorkDay preferred.
