Job Summary: Under limited supervision, assists the department head or director in the day-to-day operations of a program. Oversees the program support, general office, administrative and secretarial duties with some variety and complexity. Typical duties may include overseeing some aspects of the program, acting as the main liaison to other offices within the University as well as external contacts, maintaining budget records, supervising other support staff and-or students, arranging meetings-itineraries-agendas, typing a variety of material, compiling data and preparing reports, and purchasing office and program supplies and materials.
Additional Department Summary: The Program Assistant provides confidential high-level administrative support for the Director of Health Promotion & Wellness. Responds to inquiries and requests. Communicates internally and externally. Schedules and plans meetings. Maintains all files, records, and reports. Serves as a liaison for the executive to a diverse group of stakeholders, including the faculty, staff, students, parents, alumni, and external community members. Resolves operational and administrative issues. Procurement of supplies and promotional items, and at times, required to pick up supplies at local vendors and deliver to an area on campus. Manages licensing processes for the department. Assist in the logistics of on campus events for the Department of Health Promotion and Wellness, including the management of or providing transport for items needed. May lift up to 25 lbs. Manage schedules of graduate assistant and student workers. Supervises student staff as needed. Moves quickly within the dynamic work environment. Coordinates and plans meetings, programs, and events. Serves as an ambassador of The University of Alabama at assigned University-related functions. Prepares complex reports. Aides programming efforts. Handles all departmental budgets and travel arrangements. Aides in contract approvals. Aides in technology setup. Maintains a warm, welcoming environment. Reports directly to the Director of Health Promotion & Wellness.

Required Department Minimum Qualifications: Must have valid U.S. driver’s license. Must be at least 19 years of age at time of hire and have an acceptable Motor Vehicle Report that is in compliance with University policies. Applicants under the age of 21 will have some driving restrictions.
Skills and Knowledge: Proficient in the usage of computers and various software (word processing, Banner, Concur, Zoom, Buy Bama, Microsoft Teams, Excel, resources spreadsheet and/or database management programs). Strong organizational, communication, and public relations skills.

Preferred Qualifications: Proficient in the usage of BuyBama to make purchases and procedures to make purchases through outside vendors when necessary. Knowledge of P-Card travel and non-travel purchases and reconciliation through Concur.
