Assistant/Receptionist

JOB SUMMARY
KEY RESPONSIBILITIES AND ACCOUNTABILITIES
Reception and Phones:
Primary phones and reception at front door.
Answer phones in a polite and professional manner “Thank you for calling Sutphen East, this is “your name here”, how can I help you? “. Route calls to the proper personnel. Answer inquiries about the company.
Greet customers and vendors and visitors at the door in a polite and professional manner.
File Management
General filing as needed. Ask each department if they have any filing you can assist with when caught up on work.
Truck hours
Accurately record weekly truck hours in a spread sheet on the server. Break down departments and totals as needed. Complete these weekly.
Record keeping
Communicate with and Coach all employees about changes in laws and new rules from Sutphen.
Coordinate with Hilliard HR personnel and Sutphen East HR rep.
Committee’s
Serve on Safety Committee as needed
OSHA / DOT
Maintain all records and files. Follow up and ensure all paperwork is current. Work with Service dept. to ensure DOT requirements are met on the service trucks. Maintain all MSDS Sheets for everything in shop, as required.
Employee handbooks
Maintain, update, and ensure all employees receive a copy of handbook / safety manual upon hiring.
Ensure all employees receive updates to handbook and maintain signed copies of each employee’s receipt of book and amendments.
Assist Office Staff as requested by the GM.
Uniforms
Manage the weekly process of uniforms with uniform vendor. Track bill and ensure accuracy. Order uniforms for employees as required.
Sutphen Merchandise – Keep inventory +/- min. Ensure store is kept neat and clean and fully stocked with Sutphen gear/shirts
Safety handbooks
Maintain, update, and ensure all employees receive a copy of safety manual upon hiring. Ensure all employees receive updates to handbook and maintain signed copies of each employee’s receipt of book and amendments.
Welcome board
Maintain updated pictures and information on main welcome board slide show.
Maintain truck white boards and truck hour boards
Misc.
Front entrance appearance. Please make sure front entrance and lobby are always clean and welcoming for our visitors.
Maintain attendance records, sign in and out sheets.
Ensure visitors follow proper safety procedures.
Follow all company security measures.
Coordinate mail flow in and out of office. Ensure mail is distributed to the proper personnel in a timely manner.
Employee onboarding – safety video’s
Hand out applications as needed.
Schedule interviews
Make reference checks for applicant
Manage parking assignments.
WORKING CONDITIONS
Manufacturing environment; may be exposed to loud noises, changing temperatures, machinery with moving parts, and exotic materials.

EDUCATION and/or EXPERIENCE
High School Diploma or Equivalent
Clean / valid driver’s license
LANGUAGE SKILLS
Must be able to follow written and oral instructions.
Must be able to communicate in English (both written and oral) as it relates to the job.
Must be adaptable to a changing work environment, competing demands and is able to deal with frequent change, delays, or unexpected events.
MATHEMATICAL SKILLS
Basic mathematical knowledge
WORKING CONDITIONS
The working conditions are normal for a manufacturing environment. While performing the duties of this job, the employee is regularly required to stand for long periods of time. The employee frequently is required to walk; stoop and bend; and work on overhead structures.
Work may involve lifting of materials and product up to 100 pounds maximum with frequent lifting and/or carrying of objects weighing up to 50 pounds. The use of lifting devices and the “Buddy System” are available.
Specific vision abilities required by this job include close vision, distance vision, color vision, and ability to adjust focus.
Working in this environment requires the use of safety equipment that may include but not limited to safety glasses, hearing protectors, safety shoes, etc.
