Job Summary:
The Administrative Assistant III, District Academic Affairs provides high-level administrative support with
responsibilities that include a broad range of duties associated with the proper operation and smooth functioning of the department. This is
a Professional Exempt Contractual (PEC) position for which an annual contract reflecting the base salary within the fiscal year (July 1st to
June 30th) will be issued after ratification by Miami Dade College’s District Board of
Trustees.
Duties & Responsibilities:
* Provides high
level of administrative and logistical support to the Vice Provost
* Participates and supports the Vice Provost on internal and external
committees and task forces as directed
* Coordinates special internal and external facing events and projects
* Prepares department
requisitions, disbursements, and prepares payroll for part-time and full-time staff
* Manages departmental finances by processing
payments, budget transfers and reconciliations
* Oversees business operations processes, including agreement for services, purchase
orders, and task points payment process
* Coordinates and manages departmental personnel paperwork and assists with interviewing, hiring,
and managing staff
* Acts as a liaison to senior management teams and other college-wide departments
* Organizes and coordinates
internal and external efforts
* Oversees special projects and presentations as assigned
* Prepares routine and customized reports to
respond to College needs
* Provides administrative support for departmental operations
* Performs other duties as
assigned
Minimum Requirements:
* Bachelor’s in related
field and six (6) years administrative, teaching or other appropriate experience; or Master’s degree and two (2) years administrative,
teaching or other appropriate experience
* All degrees must be from a regionally accredited institution
* Knowledge and understanding
of College organization, goals and objectives, and policies and procedures
* Demonstrated leadership, decorum, and management skills
* Knowledge and proficient skill in Microsoft Office programs, Word, Excel, PowerPoint and other presentation software
* Strong
interpersonal skills and the ability to effectively and professionally communicate, orally and in writing, with a wide range of audiences in
a diverse community
* Possess excellent organizational and presentation skills
* Flexible hours as dictated by the needs of business
for projects and meetings
* Ability to exercise judgment and maintain strict confidentiality
* Ability to interact with departments
within the College and to represent the Vice Provost for Academic Affairs
* Ability to define problems, collect data, establish facts,
and draw valid conclusions
* Ability to work in a multi-ethnic and multi-cultural environment with students, faculty, and
staff
