The Energy Geosciences Division Office in the Earth & Environmental Sciences Area (EESA) at Berkeley Lab has an exciting opportunity for a Senior Administrator to play a crucial role in advancing cutting-edge research into the Earth’s subsurface. What You Will Do:
Reporting to the EGD Operations Lead, serve as the key administrative advisor and administrative support to the Division Director, Deputy Director, Operations Lead and other senior management, ensuring timely and effective service and communications in all areas.
Independently respond to and triage complex, time-critical and sensitive Division and programmatic issues.
Be proactive in anticipating challenges, develop and recommend sound solutions to complex problems, and delegate and execute accordingly.
Exercise tact, discretion, and diplomacy for concise and effective communications.
Manage internal/external inquiries and requests regarding information of a complex nature.
Interact with internal and external personnel on significant issues requiring coordination across organizational lines.
Independently manage the Division Directors and Deputy Director’s highly complex and frequently shifting calendars.
Oversee and track key tasks and priorities, ensuring the Division Director, Deputy Director and Operations Lead are well-informed.
Anticipate and resolve logistical issues, providing necessary information and materials for meetings and events.
Manage, arrange, and coordinate complex domestic/international travel itineraries.
Oversee event coordination services for Division events, including strategic planning retreats and workshops/conferences.
Develop and track schedules, ensuring seamless execution of event deliverables.
Serve as the program liaison with Human Resources for routine Division personnel matters.
Assist in the coordination of recruitment and annual performance review processes.
Contribute to the development of presentation templates and content.
Create budget charts and tables, and develop metrics for divisional reports and presentations.
Serve as backup to the EESA Senior Administrator, providing leadership support as needed.
Additional Responsibilities as needed:
Assist with other assignments or special projects, as assigned.
Act as an administrative work lead, including training of EESA administrative staff.
What is Required:
BA/BS degree with a minimum of 4-6 years of related experience or an equivalent combination of education and experience.
Advanced level experience providing administrative and executive assistance support to senior management.
Experience in managing multiple projects at one time involving complex and time-sensitive management issues in a large organizational context.
Ability to work in a deadline-oriented, fast-paced environment while independently and effectively establishing and changing workload priorities in a shifting work environment using initiative, sound judgment, and understanding of the tasks.
Proven skill in handling sensitive, time-critical, and confidential information and issues with a high level of discretion, integrity and diplomacy.
Ability to work effectively independently as well as collaborate effectively with others to accomplish division tasks, initiatives, and projects.
Ability to establish and implement complex administrative practices and procedures.
Excellent composition and language skills with the ability to compose complex and/or sensitive business correspondence, edit material that may include technical language, proofread own and other’s work.
Exceptional interpersonal skills and ability to communicate effectively with staff at all levels of the organization.
Experience in developing and implementing complex administrative practices and procedures.
Advanced proficiencies using the full range of Google Suite applications (calendar, email, Google Docs, Google Sheets, Google Slides, etc.) and Microsoft Office Suite (Word, Excel, Powerpoint).
Ability to quickly learn new concepts, terminology, software and systems in a business setting, e.g., PeopleSoft, Smartsheets, Zoom, Twitter, etc.).
Valid driver’s license to occasionally drive people to meetings.
Desired Qualifications:
Experience with financial reporting and developing, tracking and monitoring budgets.
Experience working in a scientific, technology, or research environment.
An understanding of Earth and Environmental Sciences terms and vocabulary.
Solid understanding of LBNL, DOE, and UC policies, procedures, and protocol.
Supervisory experience and proven ability to provide leadership and technical guidance to others.

Notes:
This is a full time, career appointment, exempt (monthly paid) from overtime pay.
The expected salary range that the Lab reasonably expects to pay for this position is $83,568.00 – $114,912.00/year. The full salary range for this position is $83,568.00 – $141,012/year. Salary offers will be commensurate with the final candidate’s qualification and experience, including skills, knowledge, relevant education, and certifications, and also aligned with the internal peer group.

Work will be primarily performed at Lawrence Berkeley National Lab, 1 Cyclotron Road, Berkeley, CA.
