Juniata College invites applications for the full-time position of Administrative Support Assistant for the Center for International Education.
Primary RoleThe Administrative Support Assistant for the Center for International Education plays a crucial role in assisting and facilitating the administrative operations of the department. This role reports to the Dean of International Education and provides comprehensive administrative and budget management support to the staff, faculty, and students involved in international education programs. Responsibilities range from handling administrative tasks and daily financial management to coordinating program logistics and maintaining records. This position requires strong organizational skills, attention to detail, and the ability to work effectively in a fast-paced, multicultural environment.
Duties and Responsibilities
• Maintain all daily financial management aspects of the office including financial transactions such as billings, vouchers, cash reimbursements, and reconciling p-cards.
• Produce reports designed to assist in the determination of the annual budget proposal.
• Accurately maintain databases including International Student and Scholars, Exchange Balances, Study Abroad Rosters, and International Contacts.
• Perform a range of administrative/office support services including file and inventory maintenance; managing office functions such as copies and ordering office supplies, and providing overall staff support.
• Provide excellent customer service to a diverse, multilingual and multicultural group of stakeholders by responding to inquiries via phone, email, mail or in person, providing information or directing them to the appropriate staff members.
• Provide logistical support for international visitors, on and off-campus programs, and special events including securing room reservations, submit work orders for facility setups and technology, purchasing supplies, and request catering.
• Assist with the updating, preparation, and distribution of marketing materials, which may include websites, study abroad handouts, international student documents, handbooks, and workshop presentations.
• Coordinate the outreach efforts around major scholarships and fellowships (i.e. Gilman, Boren, Fulbright, etc.).
• Facilitate the hiring and onboarding of student workers, Juniata Associates, and other part-time staff.
• Provide staff support to the International Education Committee.
• Performs related duties as assigned.

Position Qualifications:
• Knowledge and capabilities normally acquired through completion of a high school diploma is required. Additional academic training, particularly with a second language or international focus is desirable.
• 3-5 years’ experience in a professional office setting, with strong skills in customer service, project planning and management, PC-based office software (including advanced Microsoft, Excel, PowerPoint, and Publisher).
• Budget planning and tracking, effective handling of confidential information and an ability to handle multiple tasks in support of multiple staff in a timely and professional manner are also important.
