Responsibilities
The Academic Program Specialist is the Department staff person charged with managing and coordinating all operations, procedures, and policies related to the academic programs in the Department and acts as liaison with other units in the University and with other individuals, institutions, and agencies.
Advisor for 2 Undergraduate Programs: Geography and Environment and Society and their respective minors and 3 Graduate Programs: Master of Geographic Information Science, Master of Geography, PhD of Geography, and 1 Combined Bachelor/master’s Pathways Program. Graduate and Undergraduate Advising includes monitoring student progress through GST and Student Central, student meetings, student email inquiries, academic progress checks, class scheduling, course exceptions, resolving mapping holds, Global exchange paperwork, major changes, SAP appeals, probation advising, and degree-in-3 advising. Documents and maintains student files and advising notes in Departmental and College shared drives and Campus Connect (EAB). Handles all student matters related to registration and drop/add. Creates semester list of course offerings for Environment and Society. Monitors course enrollment for progress and possible problems. Oversees graduate enrollment of departmental courses: DIS, Defenses, Preliminary Exams, Internships, Research, Honors Work.
Authority to add students to closed courses, override time conflicts, and class permission. Responsible for adding students to courses during closed enrollment periods. Back-up person for first-day attendance policy and entering grades. Corresponds with Academic Dean’s and Registrar’s office involving student registration problems. Completes Graduate level Preliminary and Graduation Clearances. Facilitates time extension requests, grade changes, and retroactive adding/dropping of course hours. Maintains and creates departmental Academic forms. Responsible for processing tuition waivers and monitoring student financial awards provided through the department. Complies data for student awards at the request of the department. Creates and sends reappointment letters and waiver receipts to appoint students. liaison to the Departmental Undergraduate and Graduate director. liaison to the college, internal and external departments around the University, and Institutions and agencies throughout the nation regarding academic affairs. Has signing authority.
Serves as Admissions coordinator for all Graduate programs. Utilization of the SLATE system for admissions. Liaison to the Graduate School and Department of Admissions. Responsible for updates to the SLATE Application system. Answers prospective student inquiries and Counsels prospective students on International, University, College, and Departmental policies, procedures, and admissions requirements. Makes changes to student’s applications upon request. Responsible for reviewing and monitoring applications for completion and minimum requirements, Calculating Upper Division GPAs, and creating comparison documents of individual application admissions information. Reviewing and approving GRE Waivers. Processing final admissions decisions. Responsible for sending Denial letters to students. Coordinates departmental admissions events and marketing campaigns.
Oversees Graduate Orientation. Coordinates, updates, and creates orientation and registration materials. Presents Orientation and Registration webinar with the Graduate Director. Presents and coordinates Undergraduate Transfer orientation. Assists in creating the teaching schedule by attending meetings, and providing input on student needs, class capacity guidelines, requirements, and past enrollments. Distributes teaching schedule to Faculty. Creates department semester schedule in Student Central: Building courses, adding reserve caps and restrictions, maintaining enrollment capacities, monitoring co-req courses and flexible hour courses, running the PERC process, assigning rooms, and combining sections. Oversees textbook compliance. ODL Liaison for online courses. ODL enrollment Coordinator for course Evaluations; pulls data, makes course and instructor adjustments. Oversees posting of end of semester grades; pulls query for faculty and monitors for completion. Provides grade and class rosters upon request.
Collaborates with Chair, Grad & Undergrad Directors, and Committees to recruit and enhance academic programs. Helps Set, implement, and enforce policies/procedures relative to departments’ academic programs. Prepares regular and requested reports through BI and Student Central. Compiles and interprets data at the request of the Chair, Grad and undergraduate director. Attending and organizing Grad Fairs and Departmental open houses. Assisting in creating and updating marketing materials, website information, and digital content. Liaison to the COSSPP social media liaison. Consultation with outside resources and companies to provide internship and career opportunities for students. Responsible for updates to the departmental website: Admissions, Graduate, and Undergraduate Program Policies, Procedures, deadlines, and forms. Assists with Academic updates to the Graduate Student Handbook, Academic Program Guide, and Academic Bulletin.
Qualifications
Bachelor’s degree and two years of experience; or a high diploma/equivalency and six years of experience.
(Note: a combination of post high school education or experience equal to six years.)
Ability to adhere to ethical business practices and promote ethical behavior.
Ability to communicate effectively verbally and in writing.
Ability to establish and maintain effective working relationships.
Ability to interpret academic program requirements and provide advice.
Ability to prioritize, organize and perform multiple work assignments simultaneously.
Ability to utilize problem solving skills.
Knowledge of applicable computer applications (Microsoft Office) and basic computer functions.
Knowledge of principles and practices of academic program planning, development, and evaluation.
Preferred Qualifications
Previous experience advising students in a post-secondary education setting.
Experience with PeopleSoft.
Knowledge of University Admission and Graduation requirements.
Experience building class schedules.
Knowledge of and ability to interpret and apply related federal, state, and local laws, ordinances, rules, and regulations.
Knowledge of and the ability to interpret and apply related University policies, procedures, principles, and practices.
