Primary Purpose of Organizational Unit:
The Department of Athletics exists to provide educational and athletic opportunities to young men and women, to provide an environment for student-athletes to learn, advance and excel both academically and athletically, and to serve the interests of the University by complimenting and enhancing its diversity and quality of life. Through its athletic programs, the University seeks to unite alumni, faculty, administration and students in a common shared experience. The governing unit within the Department of Athletics is the Director’s Office, which is the administrative office and clearinghouse for the entire Department of Athletics, and promotes the department’s guiding principle of educating and inspiring through athletics. This unit provides support to administrators, coaches, staff members and student-athletes in order to provide and promote a premier intercollegiate athletic program for The University of North Carolina at Chapel Hill. The Department of Athletics is a highly visible public relations arm of The University of North Carolina at Chapel Hill, with statewide, national and international recognition.
The Department of Athletics sponsors a broad-based athletics program that provides educational and athletic opportunities to approximately 800 student athletes through participation in 28 sports. The Department has a budget of over $100M million with 250 full-time staff. The Department assumes financial responsibility for its program, accepting the obligation to generate without state funds the resources necessary to operate as an auxiliary service of the University.
The Athletic Business Office is responsible for monitoring the financial status of the Department of Athletics, which has a very complex financial structure, with many different approval levels and accounts. The Business Office serves as the financial hub of the Department, including
developing and administering the Department budget. Other functions include receiving and recording funds for deposit; reviewing and approving requests for purchases; auditing transactions for accuracy and compliance with rules and regulations; account reconciliation; managing communication devices; monitoring and recording inventory; securing adequate insurance coverage for student-athletes and for buildings and contents; financial reporting and analysis; long-range planning; providing support to internal and external auditors; and developing processes and procedures for Department staff members.
Position Summary:

This position performs professional-level administrative duties to assist the Senior Associate Athletic Director and CFO, and the Associate Athletic Director for Business Operations in managing the daily business process and operation of the office including greeting and receiving visitors and employees, daily management of calendars, organization of reports/files, inventory control, oversight of incoming and outgoing mail, ordering of equipment and supplies, and office liaison to building management. In addition, position will maintain spreadsheets and process financial transactions through the Connect Carolina financial system, assist in the preparation, coordination, and administration of the department budget. Maintain spreadsheets and financial databases; review and reconcile procurement transactions. Position will assist with financial reporting, metric reporting, and Zelle transactions and reconciliations as needed. Position will prioritize own work daily, weekly, and monthly to ensure that critical tasks are done in a timely manner. Interruptions and new tasks are frequently given, and all other tasks must be reprioritized to accommodate new tasks. Other functions include:
Program Coordination: Organize meetings, events and programs; produce summary reports of meetings and events; track roles and responsibilities; maintain databases and contact records.
Event Coordination: Provide leadership and support for designated events including, but not limited to, logistical and operational support; event and meeting correspondence; program organization, coordination, and implementation.
Additional Support: Liaison and point of contact for CFO for university searches and other campus committees. Organize materials, maintain files and databases as requested.
Minimum Education and Experience Requirements:
Bachelor’s degree in business administration or a related discipline; or an equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions.
Required Qualifications, Competencies, and Experience:
Education and training that provides substantial skills, knowledge and experience that demonstrates the ability to prioritize and negotiate management’s needs regarding meetings, time-frames, and deadlines. Experience that exhibits an awareness of internal and external constituents and organizations through which commitments must be coordinated. Ability to communicate information to individuals, groups, coaches, management; must communicate clearly and concisely information orally or in writing to individuals/groups. Ability to listen and respond appropriately to others. Extensive contact with persons within the Athletic Department, other departments/agencies within and outside the University, and with the general public. Experience with check requests, budget revisions, travel reimbursements and reconciliation. Demonstrated skills and knowledge/experience with software applications including MS Word, Excel, PowerPoint, and Outlook.
Preferred Qualifications, Competencies, and Experience:
Bachelor’s Degree in Business Administration, Accounting, Finance or a related degree, or an equivalent combination of training and experience preferred. Excellent interpersonal skills and the ability to interact in a professional manner. Prefer experience in an athletic environment with emphasis on administrative support and financial transactions. Strong organizational skills, demonstrated public contact skills, attention to detail, file management, ability to manage inventory, supplies and equipment. Demonstrated computer skills including Word, Excel and PowerPoint. Familiarity with PeopleSoft and ConnectCarolina helpful.
Required Licenses/Certifications:
Valid NC Driver’s License.
