Work Conditions: Work is primarily indoors and sedentary in nature. Some evening and weekend responsibilities.
Duties of Position: Provides confidential technical and administrative support to the CHRO applying significant knowledge of Human Resource policies, practices, and programs.
Maintains internal communication with appropriate staff and administrators and responds to inquiries in accordance with established procedures.
Manages and conducts office duties related to facilitating the office workflow, including scheduling, maintaining office supplies, check requisitions, facilities work orders, travel and expense reports, etc.
Creates monthly /quarterly Board Exhibits and coordinates the overall process for accurate and timely submission.
Researches, compiles, analyzes, and summarizes data for projects, reports, meetings, and memos as needed. Examples: ICCB, workforce learning, employee complaints, board exhibits, sabbatical agreements, administrator agreements, faculty agreements, Statement of Economic Interest, purchase orders, performance evaluations, FOIA requests, etc.
Serves as Event Planning Coordinator, plans and organizes a wide variety of employee related special events and activities, including Professional Development Day, Veterans Day, Employee Wellness events, Service Awards, celebration activities and Spirit Days.
Assist in the completion of CHRO presentations and communications as directed.
Provides support and guidance to HR office staff when complex, specialized and sensitive questions arise.
Assists with building and maintaining an effective HR presence on the internal HIP. This involves continuously updating, ensuring accuracy and developing fresh material to engage and inform employees.
Assists with keeping the external HR web information accurate and up to date by collaborating with all relevant internal departments; HR, Communications, IT, etc.
Acts as the recorder of numerous committee and negotiation meetings, ensuring decisions are documented, ideas are cataloged, and notes and conclusions are compiled and distributed.
Maintains the highest level of confidentiality as required to support the Chief HR Officer’s performance management and workforce development initiatives.
Manages department budget in collaboration with the CHRO. Monitors expenditures and assists in the preparation of annual budget. Serves as cost center manager for the Human Resources Department.
Enters Workers’ Compensation incident reports into vendor system and facilitates claim set-up.
Assists departments with scheduling new hire testing.
Supervises student aides, as necessary.
Coordinates and prepares the maintenance and updating of employee handbooks and policies and procedures manual.
Assists with continual revisions and maintenance of College organization charts.
Provides assistance for the College internal communications function of the office (i.e., InsideHarper and CWC/Portal Postings).
Assists the HR team with projects as needed.
Responsible for other duties as assigned.
Educational Requirements: Bachelor’s degree with HR Certificate or other appropriate academic preparation preferred. Associate’s degree with specialized training in administrative support or secretarial and office practices and procedures required. Advanced computer software systems training.
Experience Requirements: Five years of responsible administrative support with demonstrated organization and coordination skills. Advanced proficiency in Microsoft Suite required. Proficiency with SharePoint preferred. Must be self-directed with a high level of accountability and work with minimal or no supervision. Strong organizational skills; ability to multi-task and work on numerous projects simultaneously while dealing with interruptions. Commitment to accuracy; attention to detail. Excellent oral and written communication skills. Must have very good interpersonal and sensitivity skills to diffuse conflict and the ability to work well with individuals of diverse backgrounds, personalities, etc.
