The Minnesota Urban Debate League (MNUDL) is a program of Augsburg University which provides resources and programming to support competitive academic debate in Twin Cities high schools and middle schools.

Currently, MNUDL serves more than 1,000 students at 40 partner schools and has seen sustained growth in student participation since its inception in 2004.

Job Description

The Operations Coordinator plays an essential role in implementing the administrative and operation systems for the Minnesota Urban Debate League program.  

Primary Responsibilities

Implementing Programming Operations & Finance

• Supervise student worker on transportation schedules, pizza kickoff party orders, program supplies, and the purchase and drop-off of materials to schools. 
• Develop and maintain relationships with bus vendors for tournament transportation
• Coordinate and implement consistent tournament reminders to coaches
• Complete monthly Pcard reconciliation on Wells Fargo Database; oversee the student worker’s collection of receipts and paper copies to finance.
• Submit payments and W9 paperwork to finance for payments of: judges, coaches, tournament fees, and bus vendors. 
• Submit invoices to school districts and charter schools for payment.

Salesforce Reports & Data Quality 

• Work with program staff and teacher coaches to ensure all forms and attendance are completed and uploaded to salesforce.
• Use data from MNUDL Registration forms to create communication lists (middle school parents, high school parents, spanish students, etc.) and participation dashboard reports.
• Work with program staff to ensure tournament data is accurately uploaded into salesforce
• Oversee the data entry of SEL and other evaluation information (by student worker); create outcome reports for program and E.D.

Contracts and Risk Management

• Ensure contracts are completed by coaches and that non-district coaches have received mandatory reporter and safe boundaries with students training; track background checks through Sterling Volunteers. 
• Oversee the contract signature process between school districts, charter schools and Augsburg Provost. 
• Vendor recruitment and management 

Additional Responsibilities

Camp administrative support

• Camp: Provide customer service to parents/family members by answering questions regarding enrollment to camp; ensure all forms are completed.
• Work with MN Afterschool Advance and OHE to support families applying for financial aid
• Provide enrollment reports and financial reconciliation reports 
• Ensure staff contracts are sent out and received (including W-9s) for payment. 
• Ensure documentation of staff training on mandatory reporting and safe boundaries with students and background checks are documented in salesforce.

Administrative and Fundraising Support

• Oversee the implementation of fundraising appeals.
• Ensure the mail is picked up and sent to the right dept for processing
• Assist in the implementation of the comprehensive marketing and communication plan. 
• Provide administrative support for events; liaison with events and other departments as needed. Schedule internal and external meetings as needed.
• Provide some administrative support to the Executive Director

Qualifications

Minimum Qualifications

• Minimum of high school graduation.
• At least one (1) year of relevant experience 
• Ability to work effectively in a team environment and work independently

Preferred Qualifications

• A minimum of three (3) years of administrative experience 
• Ability to show initiative; organize workflow; manage one or more projects; and handle frequent interruptions.
• Ability to reason/analyze and demonstrate patience, understanding.
• Preference for someone with experience working with Google Suite, and contact databases. (We work with Raiser’s Edge, SalesForce, and Active Works) 
• Ability to provide great customer service skills to teachers, family members, and students by phone and email.
• Ability to problem solve 

Work Environment and Physical Demands

• The work environment will be primarily in the office at Augsburg University; likely 3-4 days in the office and 1-2 days remote.
• There will be times where “all hands on deck” are required for fundraising or special events. 
• Physical demands include primarily working in an office setting – i.e. at the computer, filing, putting together mailings etc., but may occasionally include carrying supplies (paper, printers, computer, t-shirts, food etc.).  
• Regular computer use.
• Sitting for long periods of time.
• Frequent communication by phone and in person.
