Essential Functions (Job
Duties)
Ensures practices, policies, and procedures are in compliance with Federal and State regulations. Maintains a
thorough working knowledge of financial aid rules and regulations. Keeps abreast of current trends and practices in Higher
Education.
Oversees reporting unit responsible for a variety of detailed reports, analyses and informational pieces regarding,
enrollment, retention, graduation and loan borrowing activities directly related to Financial Aid services and
initiatives.
Coordinates projects and reengineering enhancements across multiple units. Includes leading a team of analysts to
document, modify and develop enhancements for re-engineering systems within the Office of Student Financial Aid.
Forecasts industry
changes to keep Wayne State University competitive in recruitment and retention of students. Develops and adapts processing and workflow
efforts.
Collaborates in a team environment to develop and implement policies and procedures; monitors conformance to them so that
the office complies with all Federal, State, and institutional rules and regulations.
Supports project management systems to make
effective and efficient use of employee specialists and analysts. Queries and synthesizes data as required.
Analyzes productivity and
modifies processing resources/levels in comparison to goals. Measures progress of work and collaborates with colleagues to institute changes
to achieve efficient operations.
Provides overall leadership and direction to staff. Sets expectations & focus, assigns duties,
delegates responsibilities, evaluates activities, prepares performance appraisals & professional development plans. Provides coaching,
mentoring and teaching. Manages the administrative process for assigned staff including hiring, promotions, terminations, disciplinary
procedures, and and salary adjustments. Provides ongoing performance feedback, goal setting, and development plans for staff. Plans for
future staffing needs. Provides timely communications to staff
Assists in developing and coordinating multiple aspects of the
administration of student financial aid programs with respect to technical aid delivery systems. Oversees testing and set-up/design of
systems.
Develops workflows, initiatives and practices for the purpose of delivering aid and services to students and their families
in a fast-paced environment.
Serves as liaison and resource to University personnel and/or external clients. Participates on
University-wide task forces and committees. Represent the department head at various meetings.
Required to be on call 24 hours to
trouble shoot and resolve technical and reporting issues as they arise. May be required to work nights and weekends.
Performs other
related duties as assigned.
Qualifications
Bachelor’s degree in Business Administration or a related
field from an accredited college or university. Master’s degree preferred. Candidates with an equivalent combination of education and
experience may be considered.
Minimum 5 years of progressive financial aid experience. Experience with and knowledge of federal,
state, and institutional financial aid programs and regulations. Considerable experience in management practices and planning, development
and implementation of programs, policies and procedures, especially technical set-up.
Must have experience with financial aid
administration in a large and highly complex environment and a wide range of financial aid programs and services to a diverse student
body.
Knowledge, Skills and Abilities
Working knowledge of Financial Aid policies and business
procedures/practices.
Interpersonal skills, resolving conflicts, promoting cooperation, administering contracts, and providing
outstanding customer service. Ability to create written reports and deliver oral presentations.
Thorough knowledge of the theory and
principles of financial aid rules and regulations along with understanding of and ability to apply the rules and regulations in practice.
Ability to Forecast industry changes to keep WSU competitive in recruitment and retention of students.
Effective interpersonal and
customer service skills. Ability to handle high-stress, high-pressure situations, in a collaborative and congenial manner.
Ability to
delegate work, set clear direction and manage workflow. Skill and experience in mentoring and coaching of personnel. Ability to train,
develop, assess, and offer feedback to staff members. Skill in development of teamwork among staff members.
Ability to compare,
contrast and quality check work with a keen attention to detail. Strong analytical skills including: critical thinking and problem-solving
skills. Must be able to forecast resource needs and project processing deliverables.
Proficient in the use of Banner; prior system
set-up and testing experience required. Project Management/SMARTSHEETS, Salesforce, or other Customer Relationship Management system
knowledge. Statistical analysis including SPSS. Experience with database query and table design. Cognos report writer.
Must possess
skill in developing new policies and procedures, identifying methods to anticipate student needs, developing ways to address and implement
changing regulations, and working on committees as well as with other University departments to improve
services.
