The Center for Diabetes Technology (CDT) and the University of Virginia (UVA) School of Medicine seeks applicants for a Senior Grants and Contracts Administrator. Grants and Contracts Administrators perform pre-award, post-award or a combination of grants and contracts job duties in response to specific proposal guidelines or terms and conditions. Grants and Contracts Administrators facilitate the proposal submission and award administration process. They understand sponsor requirements and interpret guidelines for the Principal Investigator. They are responsible for the processing of proposal or award amendments, communicating with sponsors as needed, and serve as the primary contact for internal and external subcontracts and sponsors. They may perform a range of other duties within their organizations, as needed, but are distinguished by their expertise in grants and contracts administration. This position’s primary focus will be post-award grants administration.
The CDT is directed by Boris Kovatchev, PhD, a world-renowned researcher in the field of Diabetes, algorithm development and data science. Dr. Kovatchev is a regular lecturer at Universities and Conferences throughout the US and Europe. He is actively involved with Center projects and with the direction and education of all post-doctoral candidates. With substantial NIH funding, the Center led and successfully completed the three largest randomized Artificial Pancreas (AP) clinical trials in the World to date, including a pivotal trial aiming for regulatory clearance of a new AP System (that included the algorithm program developed at the Center), published on October 16, 2019 in the New England Journal of Medicine. The successful candidate will be expected to:
• Manage grant submission process, fill out forms, prepare letters, upload proposal documents into sponsor portals, prepare financial reports per sponsor guidelines, and mail proposal hardcopies.
• Perform monthly account reconciliations, and process vendor invoices, purchase orders, and cost transfers for multiple awards.
• Assist with the preparation and revisions to grant budgets.
• Review proposals for conformity with University, State, and Sponsor guidelines.
• Resolve problems through contact with University administrators or faculty and recommend appropriate changes.
• Mentor new administrators and provide guidance.
• Provide technical and administrative assistance to faculty and administrators in regard to sponsor regulations.
• Participate with the direct negotiations on behalf of the University with external sponsoring agencies.
• Maintain complete and accurate file information.
• In addition to the above job responsibilities, other duties may be assigned.
Qualified candidates must have:
Education: Bachelor’s degree
Experience: Five years of grant and contract experience. Four additional years of experience may be accepted in lieu of degree.
Licensure: Certified Research Administrator (CRA) certification is preferred.
Required knowledge, skills and abilities:

• Knowledge of grant funding policies and procedures and applicable local, state, federal and university regulations.
• Ability to provide technical advice and information to faculty and staff in area of expertise.
• Aptitude to oversee grant proposals and financial transactions.
• Strong interpersonal, communication skills and the ability to work effectively with a wide range of constituencies in a diverse community.
• Ability to make administrative/procedural decisions and judgments.
• Aptitude to analyze budgetary line items for compliance with budget guidelines.
• Capacity to multi-task and work towards several objectives simultaneously on tight deadlines.
• Ability to solve moderately complex accounting and reconciliation issues.
• Working knowledge of Microsoft Office (Word, Excel, PowerPoint, Outlook)
The Grants and Contracts Administrator will report to Harry G. Mitchell, CPA, Chief Operating Officer and Business Development, University of Virginia Center for Diabetes Technology. This is a restricted position and is dependent upon project need, availability of funding and performance. This is an exempt-level, benefited position.
