The EdPolicyWorks (EPW) Center at the University of Virginia (UVA) is seeking a Center Administrator (CA) to manage the daily operations of a small research center, primarily in the areas of human resources, research dissemination and community development, project management, and the administrative needs of the unit. EPW is a joint collaboration between the UVA School of Education and Human Development (EHD) and the Frank Batten School of Leadership and Public Policy (Batten). EPW seeks to bring together faculty from across UVA to focus on important questions of educational policy. This position is available for in-person or hybrid work, and starts immediately. This is a salaried position with full UVA benefits.
The CA will oversee and coordinate day-to-day Center administrative operations, toward the ultimate goal of sustaining a thriving intellectual community where affiliated faculty and their research teams conduct high-quality, impactful education policy research. The CA will perform a variety of duties requiring an understanding of organizational operations, organizational procedures, and personnel. The CA will implement, improve, and institutionalize administrative procedures to optimize services to EPW faculty and staff. The CA will work closely with a broader group of excellent administrative staff in EHD, as well as the EPW director and financial administrator. Typical responsibilities may include:
Hiring and Onboarding:
Oversee hiring for the Center and faculty projects, in concert with the Center financial administrator, EHD’s Human Resources (HR) Business Partner and hiring managers, and research administration (RA). Help Center faculty initiate job searches, coordinate postings and recruitment, organize and disseminate candidate application materials to search participants, coordinate interview and review processes, and work with Center faculty and staff, HR, and RA on finalizing hires.
Conduct successful onboarding, training, and offboarding of EPW community members, as well as facilitate hiring paperwork and visa documentation with relevant HR partners.
Support for Affiliated Faculty Research:
Support EPW research projects via occasional research project logistics, as indicated by the Director.
Assist affiliated faculty with travel to disseminate their EPW research portfolio. Will primarily connect EPW faculty with relevant administrators who plan costing allocation, make purchases, and process reimbursements. May help explain procedures and conduct preliminary planning.
Operations:
Oversee all aspects of space use and facilities management in coordination with the Director and appropriate school-level staff. Includes staff/faculty space assignments, key control, moving furniture/equipment, and other related tasks.
Work with the EHD Educational Technologies Office (ETO) to meet Center information technology needs. This includes keeping an inventory of the Center’s technology assets, needs, and replacements.
Support Center Director:
Track and monitor timelines and milestones to follow the progress of projects, action items, and strategies that emanate from Center leadership. Ensure that appropriate follow-up actions are taken. Institute necessary workflow (prepare agendas, identify meeting participants, distribute appropriate briefing materials). Initiate subsequent follow-up meetings and communication, as directed.
Promote successful collaborations between the Center and other key administrative support organizations across UVA, as well as within EHD and Batten. CA will work particularly closely with EPW Financial Administrator.
Review correspondence and draft responses as appropriate, or forward to the appropriate person for response. Anticipate other administrative needs of the Center Director.
Support Director in preparing accurate, organized, and aesthetic presentation of materials.
Prepare operational reports and presentations on Center goals, progress, challenges and next steps.
Community Building for Research Excellence:
Help build and maintain an inspiring learning environment where community members share their work and support one another’s intellectual growth and development.
Foster a sense of community within the Center via communications (e.g., management of EPW email listservs) and organizing occasional Center-wide events.
Coordinate with Center administrative staff to manage collaborative research-sharing activities for the Center including external speaker series and weekly labs for 25-35 people. Other events may include conferences and research partnership summits.
Dissemination of Center Research to External Audiences:
Innovate and implement strategies for disseminating research of Center faculty to external audiences
This may include but is not limited to producing newsletters, managing Center social media, maintaining websites for the Center and affiliated faculty, and liaising with the Office of Communications.
Typical expertise includes:
Experience with human resource management
Experience as a manager of a research center/unit in a higher education setting or not for profit organization, is strongly preferred.
Very strong organizational and project management skills, with ability to track and follow through on work activities to completion without close oversight
Strong desire to learn new skills and abilities and to continuously improve practices
Ability to manage competing deadlines and priorities
Knowledge of University policies pertaining to administrative composite of work (human resources, etc.). Ability to follow established policies and procedures and adhere to regulatory guidelines in daily work.
Ability to independently research topics pertaining to the operational area and make recommendations and implement accordingly. Ability to understand the organizational impact of individual actions.
Demonstrated mastery of basic office software, especially Outlook, Microsoft Word, and Excel”
Demonstrate excellent oral and written communication in daily interactions with faculty, students and research partnerships stakeholders.
The Center Manager will report to the EdPolicyWorks faculty director and/or her/his designee.
Required Education & Experience:
Bachelor’s degree with at least two years of relevant exempt level experience in finance and budget. Relevant exempt level experience may substitute for a degree.
At least two years of supervisory experience is required.
Preferred Education & Experience:
Master’s degree.
Experience with increasingly responsible management and administrative responsibility is preferred
Anticipated hiring range: $50,000 – $75,000
Physical Demands
This is primarily a sedentary job involving extensive use of desktop computers. The job does occasionally require traveling some distance to attend meetings, and programs.
