Advertised Job Summary:
The Events Coordinator will be responsible for planning, managing, and organizing functions and events that align with the mission and scope of work for externally funded projects. Coordinates planning meetings including establishing a timeline and deadlines for all aspects of the meeting or event. Coordinates with the Communications Coordinator to market meetings and special events to target audiences. Coordinates set-up/tear-down of all events, activities, and programs. Maintains a supply inventory. Processes payments of all event related expenditures, tracks event expenditures and prepares final event reports. Participates in and coordinates all event activities.
Required Education and Experience:
Bachelor’s degree and 3 or more years of experience, which may be substituted by equivalent combination of certification, training, education, and/or experience
Knowledge/Skills/Abilities:
Customer service skills and professionalism. Sound judgement, initiative, and a keen eye for detail. Ability to prioritize and work under stress. Ability to plan and coordinate volunteers and vendors. Organizational, time management, communication, and interpersonal skills and able to work effectively with a diverse constituency of colleagues, volunteers, external partners, and the public. Flexible to accommodate unpredictable demands. Ability to manage multiple tasks and perform all duties while remaining personable and professional. Attentive to the needs of event owners and proactive in response to their needs. Knowledge of sales, marketing, and communication techniques. Successful applicants will have excellent written and oral communication skills, computer skills that include Microsoft Office (Word, Excel, PowerPoint, Outlook) and web-based software applications.

Participates in all event activities including planning, venue selection, personnel, managing event registrations, preparing event contracts, handling catering orders, preparing event materials such as name tags, and programs, handling event decor and design, and providing excellent customer service to event guests etc.
