Position Summary:
The term Graduate Assistant is the umbrella term that encompasses all types of GA appointments. Graduate Assistants are employed by the University to teach, conduct research, or assist with administrative duties in departments and non-academic units. Every attempt is made to assign Graduate Assistants to positions that are directly related to the student’s field of study or that provide the opportunity to develop transferable, professional skills. Graduate Assistantships are assigned in the department or unit and confirmed by the Graduate School.

Enrolled Student Services division of The Graduate School manages students who are enrolled in a graduate program from the time of their enrollment through graduation (and sometimes even beyond).Responsibilities: Under the direction of the Assistant Director, the Graduate Assistant will provide the following services:· Manage the Enrolled Student Services email account and communicates with Faculty, Staff, and Students via email· Scan and file all doctoral paperwork after it has been processed; emails to students, committee chairs regarding approved items· Daily departmental paperwork uploads to Banner Document Management system· Manage address and name changes for graduating students each semester· Contribute to Commencement Ceremony by aiding with master’s check-in and line-up· Assist with compiling information for Doctoral Hooding Ceremony program· Contribute to Doctoral Hooding Ceremony by aiding with check-in, line-up, and preparation for the event as needed· Degree Audit preparation and management of audit distribution and return· Assist in managing plans of study for graduating students· Identify diplomas that are unable to be released directly to students and notify students· Mange the file purge project· File, copy, scan, and pull student folders as needed· Send out letters for graduate faculty appointments and file office copies· Perform special projects as needed· Responsible for daily check-ins with supervisor as well as clarifying any questions that come up during the workday· Must be able to work independently and with attention to data and privacy measures following proper training from supervisor· Maintain and update the Procedures Manual for the GA position.Communications: The Graduate Assistant is responsible for contacting faculty, departmental staff, and students when Doctoral plans of study and advisory committees are approved or revised. The GA communicates with the students regarding missing plans of study, commencement information, clearance for graduation, holds on diplomas, and answers general questions from students about a wide range of graduate policies and processes. Any mass emails from Enrolled Student Services are administered by the GA.Graduating Students: The Graduate Assistant is responsible for helping to create and combine audit packets. After their completion, Audit Packets are prepared and made available to departments by the GA. When returned, the GA evaluates the responses and reconciles according to procedure. The departments are contacted by the GA when audits are not returned in a timely manner. The GA also combines the audits with the packets to ensure proper processing. The Graduate Assistant prepares diplomas for mailing. This includes proofing as well as modifying addresses and diploma names in banner. The GA is also responsible for holding diplomas of students with unpaid account balances.Commencement: The Graduate Assistant provides and proofs some program information submitted to the Commencement Coordinator. The GA designs the necessary signage for commencement and the Doctoral Hooding Ceremony. The GA also manages proper robin of regalia for master’s students as Commencement as well as supervising the end of the master’s line during the processional to the coliseum. At the Doctoral Hooding Ceremony, the GA assists with the student processional to the auditorium as well as set-up and clean-up for the ceremony.
Graduate Assistants work 20 hours per week for the Graduate School and are provided their own workspace within the office. Graduate Assistants are provided a $16,000 stipend (August 1-April 30) with the opportunity to work during summer for additional stipend. Tuition support is provided as part of the assistantship.
Minimum Qualifications:
To be eligible for appointments as a graduate assistant, you must:
• Maintain academic good standing at all times (3.0).
• Be enrolled full-time, which is generally a minimum of 9 credits.
• Make satisfactory progress toward your degree as defined by your academic program and the Graduate School.
• Meet the requirements to be eligible for employment in the U.S.
Additional Minimum Qualifications:
The successful candidate will possess the skills to assist in the management of the students enrolled in a graduate program. These skills will include attention to details and deadlines, effective time-management, multi-tasking, independent decision making as well as strong organizational skills. The candidate will work with minimal supervision and be able to oversee duties associated with semester deadlines. Professionalism, accuracy and confidentiality are critical. Knowledge of Microsoft Word, Access, Excel, as well as the ability to learn new computer programs as needed.
