Summary
Environmental Health and Safety (EH&S) at CU Boulder is searching for an Office Coordinator! The role is responsible
for multiple program areas within EH&S and helps maintain continuity of processes and procedures within the office. This position manages
the front office, serves as a technical editor, oversees the EH&S website, and is responsible for Conference Room scheduling. The role also
collaborates on updating policies and procedures to implement productive workflow and ensure services and operations are effectively meeting
needs of faculty, students, and staff. The position represents EH&S daily and provides direct service to students, faculty, and staff of the
university. This role provides and promotes effective communication between the EH&S Department, other campus departments, and external
constituents to accomplish business in a professional manner.

Who We Are
EH&S provides comprehensive safety
oversight, training, compliance assurance and hazardous material management/disposal services to all campus operations (research, general
fund operations, auxiliary operations, events, etc.). We coordinate with University Risk Management regarding campus safety
liabilities/risks and develop programs to proactively address issues; develop and implement occupational safety programs that work to reduce
risk management liabilities and claims, and coordinate responses to critical campus incidents and ensure appropriate hazard mitigation and
remediation for hazardous materials incidents in full compliance with applicable federal, state and/or local regulations.
What
Your Key Responsibilities Will Be
Office Management
May manage student employees working within EH&S. Serve
as Building Proctor by submitting service requests for building repairs and maintenance. Manage daily operations of the EH&S front desk for
walk-ins, phones, and general email, and makes appropriate referrals to campus and departmental resources as needed. Take recommendations
from management team for recommendations for renovations/upgrades to the EHSC building and work with Planning Design and Construction to
complete those renovations and upgrades. Serve as the liaison with Transportation Services and provide management for issues related to EH&S
fleet vehicles and responsibilities for employee CDL requirements. Serve as liaison to Access Services and coordinate employee issues
related to campus access. Oversee process for completion of EH&S employee annual medical examinations by occupational medicine provider.
Technical Editing and Website ManagementServe as a technical editor for each group within EH&S, providing edits and updates to department
and campus documents and programs. Manage and update the EH&S website.
IT Management and Support
Oversee
departmental IT programs, including computer/equipment purchasing, working with OIT for desktop support, server support, and other
technological support to keep current with the latest technology and ensure continued efficiency. Responsible for purchasing cell phones for
department.
Accounting Support
Serve as a support role to the Executive Assistant to the AVC for EH&S and assist
with budget and accounting management. Assist the Asbestos Group with invoices, data entry and assist with departmental purchases of
necessary supplies/equipment through approved vendors. Cross-train with the Executive Assistant to learn the campus requirements related to
budget and accounting. Become proficient in departmental budget (i.e., requests, development, and management) and financial transactions to
ensure accurate and timely reporting and cost control. Assist in creating purchase orders/standing purchase orders for the groups and, when
necessary, email changes in address, amounts, etc. to the appropriate System departments. Help the department ensure budget, travel, and
purchasing/procurement transactions are completed accurately and in keeping with Generally Accepted Accounting Principles
(GAAP)
Human Resources Support
Serve as secondary HCM Community Member for the department and assist with human
resource management. Cross-train with the primary HCM Community Member to learn campus requirements related to human resources. Become
proficient in personnel matters such as the creation and updating of positions, hiring, onboarding, exit process, and leave reconciliation
as well as advising employees on matters concerning FML, and new employee/retiring/resigning employee procedures. Aid in the annual
performance planning process for EH&S personnel and help manage personnel files and policy information.

The salary range for this position is $40,000 –
$45,504 annually.
