The Opportunity:
The Office Support Assistant is a compliance role that assists the International Insurance Specialist, helping to ensure that each semester our international student population meets the minimum health insurance requirements of the Florida Board of Governors. This involves working with 2,500+ students including government-sponsored students, graduate-supported students, and self-pay students by evaluating insurance submissions, reviewing policies for compliance, processing and clearing student insurance holds, and attending in-person orientation check-in sessions.
Responsibilities:
Interpret the UCF health insurance policy to international students, and identify and inform international students about their required insurance status with the university. Accept and approve compliance forms, and receive proof of insurance coverage submitted by students. Review policies to determine if minimum requirements are met.
Maintain insurance database in PeopleSoft and related files. Add/remove registration holds on patients’ accounts in the system once the student becomes compliant each semester with the insurance guidelines and protocols of the university. Assign international insurance documents into the student health center’s electronic health record and perform quality assurance (QA) of all documents imported into the system.
Assist students walking up to the International Insurance front desk of the Health Information Management (HIM) department with a willingness to help them with their questions, processing their submissions, explaining the health insurance requirements, provide necessary forms, and give information about the school-recommended plan, as well as the other plan options.
Manage departmental email account. Respond to a high volume of emails and send emails in a professional manner with attention to detail including ensuring proper grammar and correct spelling.
Answer the international insurance phone line, retrieve voicemails, and return calls in a timely manner.
Assist the HIM department front desk by providing back-up support during high-peak times and staff absences by greeting all visitors and helping students/patients with questions about immunization requirements and medical records release forms, and answering department phone lines to ensure continuity across the HIM Department.
Follow FERPA, HIPAA, SHS, and UCF policies and procedures. Maintain strict confidentiality by ensuring the security and confidentiality of all patient information within the department and displaying professionalism at all times.
Timely completion of required university and college trainings and updates; including trainings such as FERPA, HIPAA, Conflict of Interest, and Code of Conduct.
Other duties as assigned by the supervisor or designee.
Minimum Qualifications:
High School Diploma or equivalent and 0+ years of relevant experience. Or an equivalent combination of education and experience pursuant to Fla. Stat. 112.219(6)
Preferred Qualifications:
Preference may be given to candidates with University/College experience or comparable busy clinical experience.
Excellent communication and customer service skills, strong attention to detail, and ability to relate well with staff and students in a college health environment.
Prefer candidate with the ability to communicate in both English and Spanish in order to work effectively with customers.
