Department of Legal Studies:
The Department of Legal Studies offers undergraduate degrees (B.A./B.S.) in Legal Studies, multiple interdisciplinary undergraduate certificates, and a graduate certificate to a diverse student body preparing students for success in law school, graduate school, and the legal profession. The department serves approximately 900 Legal Studies majors and has 10 full-time faculty and 2 staff members. Students have opportunities for legal internships and advanced undergraduate research in the university’s Honors in the Major program. The Opportunity:
The University of Central Florida (UCF) Department of Legal Studies is seeking qualified candidates for an Administrative Assistant III position. The Administrative Assistant III assists the Chair of the Department of Legal Studies with the department’s administrative activities and coordinates various administrative processes, fiscal operations, and projects. The Administrative Assistant III is the primary (lead) departmental administrative support position in the department and has primary responsibility for a wide variety of complex processes.
Responsibilities:
Serve as a department liaison with the college’s Finance Business Center. Assist department faculty with purchasing and travel arrangements by using an expense card and the Workday requisition feature in accordance with applicable policies and regulations Serve as a department liaison to the college research administration service team to keep abreast of grant projects/awards on behalf of the department chair.
Assist the department chair with completing forms, as needed, for Human Resources to review, process, and manage. Supervise and manage all department administrative support services and staff, managing daily operations of the department, including but not limited to direct or indirect supervision.
Assist department chair and Human Resources with the collection of collects and processing all the faculty, adjunct, and staff reports, including but not limited to faculty annual evaluation and staff performance review, Faculty Annual Report (eFAR), and Conflict of Interest. Oversee the completion of faculty assignments of duties, academic assignments, and effort reporting and entering information in the Faculty Activity System (FAS). Department liaison for faculty to prepare for the Tenure and Promotion process and department-level record keeping (student perception of instruction, syllabi, etc.).Organize and maintain the adjunct evaluations, informational databases for the department, and listing of all adjuncts each term for HRBC to process including the teaching qualification (FQMS).
Arrange department-wide meetings, committee meetings, special events, and projects. Serve as Assistant Tournament Director in the department for several annual cornerstone events for the department (Moot Court, Mock Trial, and Mediation Team). Coordinate all logistics of department events (reservations, technology, food, parking, etc.). Organize and manage the annual Law Day with the 6th District Court of Appeal, as well as other departmental events as they arise.
Coordinate the department’s academic schedule (Fall, Spring, Summer), including the assignment of location, classrooms, modality, and instructors based on the needs of our students. Review and revise after guidance from the chair. Collaborate with the chair on all areas related to accreditation, assessment, and data management. Maintain the department’s course syllabi database each semester, along with the faculty & adjunct members’ current curriculum vitae. Coordinate the department’s textbook orders each semester. Create and update (as needed) both the department handbook for faculty/staff/adjuncts and an academic program student handbook.
Liaison for the department’s IT issues. Submit all work orders for the department (IT-related, Telecommunications, and Facilities). Maintain database of the department’s work orders and their status. Manage the department’s Microsoft Teams account, including updating files and channels. Assist in tracking and accounting for all equipment as the department’s property custodian, which includes coordinating the surplus of property.
Assist with the coordination of Moot Court by collaborating with individual faculty members on their associated program, including program proposals, travel itineraries, and FBC for budget development and other logistics. Arrange student workshops for programs. Work with accepted students in preparing for the program. Liaison with UCF Global.
Minimum Qualifications:
High School Diploma or Equivalent and 4+ years of relevant experience.
Preferred Qualifications:
Bachelor’s degree.
Strong written and verbal communication skills.
Experience seeking initiative on tasks/projects and completing multiple and simultaneous job priorities, with close attention to detail.
Proficient with Teams and Microsoft Suite, specifically Outlook and Excel.
Experience with databases and technology.
Knowledge of Workday and Teams is a plus.
Experience in working independently or as part of a team.
