Position Description:
The Administrative Officer III is the administrative manager for Undergraduate Education Initiatives (UEI). UEI develops innovative multidisciplinary academic programs for UCLA’s 31,000 undergraduates. These programs include the UCLA Cluster Program, Fiat Lux Freshman Seminars, freestanding minors (e.g., Disability Studies, Community Engagement & Social Change, Food Studies and Social Thought), the Center for Community Engagement, Startup UCLA, as well as support for Shared Governance Committees, and continuing development of innovative curricular initiatives.
The UEI Manager functions both independently and in conjunction with the UEI directors and staff. The range of duties is broad in scope and requires considerable decision-making latitude. The UEI Manager understands the broad academic mission of the university and the detailed workings of each UEI program in order to ensure the full range of administrative needs are met.
Reporting to the Director of Academic Initiatives, the UEI Manager oversees the operations of all the above programs and activities, working closely with directors to determine long-term goals, implement plans to meet those goals, establish staff, financial and administrative support needs, and ensure that UEI directors have support needed to successfully mount and grow their programs. The UEI Manager provides guidance and support to administrative personnel and assists to coordinate their workflow assignments.
The UEI Manager works with the Director of Academic Initiatives to manage the UEI budget of $7.4 million (comprised of both general and extramural funds, and contracts and grants). The UEI manager also provides guidance and support for budget and finance coordination between UEI and DUE central, creating new systems as needed to facilitate effective communication of information and efficient workflows. The UEI Manager coordinates short and long-term planning; and manages all operations including UEI class scheduling, UEI’s internal academic and CHR staff hiring processes in order to facilitate official hiring by DUE’s central Human Resources, indirect supervision and evaluation of administrative staff; space/facilities utilization; events; and program activities and reviews.
