This position will work a hybrid schedule which includes a combination of working both onsite in La Jolla and remote.
DESCRIPTION
The Alzheimer’s Disease Cooperative Study (ADCS) was formed in 1991 as a cooperative agreement between the National Institute on Aging (NIA) and the University of California, San Diego. The ADCS is a multi-center clinical trials consortium that provides an operational framework for large scale Alzheimer’s disease research projects. The ADCS consists of 7 cores, 22 committees, and approximately 40 research sites that are members of the consortium/Steering Committee, and an additional 40 or more research sites located across the U.S. and Canada that participate in one or more trials coordinated by the ADCS. Annual funding for the ADCS ranges from $15-$25M. The ADCS provides expertise in developing Alzheimer’s disease-related protocols and is the coordinating center for multiple clinical trials of varying sizes and complexity under subcontracts funded by NIH and clinical trial agreements with industry partners.
Under the general supervision of the ADCS Director of Administration and Business Operations, the Business Operations Specialist has administrative responsibility for general operational support (facilities, space, operational protocols) for the ADCS. The incumbent will provide high-level administrative support to the ADCS Director of Administration and Business Operations and for the overall center as appropriate. Responsible for maintaining the accuracy of information recorded in various systems, including UCSD systems and ADCS systems (COI) by researching, analyzing, and reconciling data. The incumbent will process travel reimbursements and purchasing requisitions. Responsible for the coordination of events, including workshops, lectures, site visits, conferences, and symposia. Plans and follows through with event coordination process, prepares event planning budget and reviews with Director of Admin and BusOps, and reviews post-event costs for accuracy. Performs administrative responsibilities in support of general operations (maintains adequate office supplies, manages common and specific calendars, and other ADCS-wide activities), provides support to staff human resource administration as needed, and ensures an effective and responsive business office. Performs other related duties and functions as required.
MINIMUM QUALIFICATIONS
Bachelor’s degree with a major in business administration, economics, educational administration or related field; or an equivalent combination of education and experience.
Demonstrated knowledge and experience in business administration with strong organizational management skills.
Excellent interpersonal skills with strong, demonstrated ability to maintain tact, poise, diplomacy, confidentiality and hospitality with a diverse population of staff, faculty, industry, and the community in a high pressure and demanding environment.
Proven experience using critical thinking skills to independently solve day-to-day issues and propose options to address complex problems.
Excellent organizational skills in order to prioritize multiple tasks, develop, analyze and/or revise procedures, meet deadlines, and work in an environment of heavy pressures and changing priorities. Ability to use independent judgment and initiative to accomplish tasks.
Prior experience planning large events such as conferences, site visits, workshops and distinguished lecture series. Knowledge of event planning and organization of special events including familiarity with general accepted practices of the industry.
Demonstrated oral and written communication skills and the ability to independently compose correspondence and reports.
Working knowledge of PC-based computer applications such as relational databases, spreadsheets, word processors, presentation software such as PowerPoint, electronic calendars, email and web-browsers in a network environment. Ability to use such applications to manipulate data and create reports.
Proven experience with purchasing, disbursements, and material management.
Experience in contract and grant proposal formats, preparation, submission and administration as well as federal and private granting agency regulations.
Excellent mathematical and analytical skills to perform analyses, prepare reports, and compile data.
Demonstrated experience in utilizing automated resources and reports. Experience with spreadsheet and data management software.
PREFERRED QUALIFICATIONS
Knowledge of Health Sciences faculty, staff, facilities, and UC policies and procedures.
Knowledge of the principles of higher education and of an academic institution’s organization, structure, and function.
Experience working with recharges and related billing.
Knowledge of UCSD policies and procedures, including the willingness to understand and enforce these policies when required.

Pay Transparency Act
Annual Full Pay Range: $63,580 – $98,282 (will be prorated if the appointment percentage is less than 100%)
Hourly Equivalent: $30.45 – $47.07
