Executive Assistant
The University of Tennessee Institute of Agriculture (UTIA) Office of Institutional Advancement seeks an Executive Assistant to serve as the central coordinator of administrative support for the UTIA advancement team. This position is a part of the University of Tennessee Foundation, Inc. (UTFI), and reports to the Vice Chancellor of UTIA Advancement. The successful candidate will provide direct administrative assistance to the Vice Chancellor, as well as various other advancement professionals on the team in respect to four areas:
· Communication – The Executive Assistant will recognize and respect the value of professional interaction with a variety of internal and external audiences and be able to effectively communicate with these various constituencies daily.
· Technical Support – This person will understand and proactively implement business-related software programs and technologies (e.g., Microsoft Office Suite) to keep the office operating at the forefront of best business practices.
· Financial & Administrative Support – The Executive Assistant will administer business transactions in various software packages in conjunction with the UT Foundation’s CRM (ANDI), university software programs (IRIS), and others as needed. These support services include, but are not limited to, support with alumni and donor records, travel plans and reimbursements, and inventory purchases and oversight.
· Overall Coordination – The successful candidate will develop and implement best practices to manage office administrative processes (e.g., team meeting agendas and follow-ups, team schedules, gift agreement tracking, employee training schedules, cross training of administrative assistants, special events, and an office calendar).
Through the Office of Institutional Advancement, UTIA partners with the UT Foundation to enrich the lives of students, faculty, staff, alumni, and friends of the University of Tennessee. This office coordinates activities and opportunities to engage with the entire agricultural community in respect to the land grant mission. With office locations in Knoxville, Spring Hill, and Jackson, it mirrors the footprint of the Institute to best assist constituents. The UTIA Advancement Team’s motto is to serve by serving with you.
This position will be located in Knoxville, which sits at the base of the Great Smoky Mountains. With a variety of outdoor activities, parks and recreation, Knoxville provides a top-notch outdoors recreational experience to nature lovers. Arts, music, events, and annual festivals add to the breadth and depth of the list of things to do in this region. There are various opportunities to connect and find community for all identities and interests within the surrounding area and on campus.
Qualifications
Minimum Qualifications: A high school diploma and 5 years of relevant, full-time work experience or a business/technical school diploma or degree with 3-4 years of relevant, full-time work experience is required. Relevant work experience demonstrates a broad knowledge of principles, practices, and procedures in a business environment or skills as listed below.
Skills: Excellent computer skills and proficiency in Microsoft Office (Word, Excel, PowerPoint, and Outlook); attention to detail; and exceptional customer service are required. Candidates must have the ability to communicate (written and verbally), as well as maintain professional working relationships with internal and external stakeholders. The Executive Assistant must be a self-motivated team player with excellent organizational skills, who is able to maintain confidentiality and be proactive in filling the needs of the office. The candidate must be able to work independently with little direct supervision due to the extensive travel of the Vice Chancellor and the advancement team and is able to manage multiple projects with the ability to produce excellent work results.
