Admissions Specialist and Program Coordinator

The Center for Global Engagement, (CGE), is hiring an Admissions Specialist and Program Coordinator to join our English Language Institute. CGE is comprised of seven units (Asia Engagement, Communications, English Language Institute, Global Research, the International House, International Student and Scholar Services, and Programs Abroad) who are responsible for working throughout campus, across Tennessee and around the world to provide enriching and diverse international experiences for faculty, students and scholars.
The University of Tennessee, Knoxville (UTK) is Tennessee’s flagship university and premier public research institution. We are an R-1 land-grant university with approximately 30,000 students, 9500 faculty and staff, 11 colleges, and over 300 degree programs. There are more than 1600 international students and scholars on the UTK campus. The University is located on a 580-acre campus in the city of Knoxville in eastern Tennessee, near the Great Smoky Mountains. UTK is located within easy driving distance to the Great Smoky Mountains, Atlanta, Nashville, Asheville, Charlotte, Louisville, and Cincinnati. It is only a day’s drive to Memphis, Chicago, and Washington D.C. Knoxville and the surrounding counties have a population of more than 850,000 people.
Qualifications
Position Summary
This role is the front-facing and primary contact for prospective, newly arrived, current students and alumni of the English Language Institute.
As such, the incumbent receives and processes all admission inquires and applications, provides support in the immigration process with ISSS offices;
maintains admissions database (previous, current, prospective students) in Sunapsis, Banner, and/or other software systems utilized by the institute;
designs and disseminates admissions and marketing materials for international audiences; oversees the student payment process; supports ELI with billing and dissemination of invoices, reports, payments and ledger reconciliation in IRIS or other software system utilized by the institute.
Position Responsibilities
· Customer Service and Admissions
o Works with the director and assistant director to design and implement the admissions process and communication plan for prospective students.
o Manages and responds to prospective student applications promptly and professionally to increase lead generation and conversion rates.
o Works collaboratively with International Student and Scholar Services (ISSS) offices to support student immigration queries, and update student files related to compliance.
o Provides regular updates to director and assistant director of applications and pending student arrivals / visa status.
o Processes student payments, refunds, invoices, and relevant reports.
o Supports student’s pre-arrival and arrival (e.g. VolCards, insurance, registration, housing, transportation, and other UTK offices) to ensure students are appropriately coded in campus systems and are connected with the appropriate resources.
o Occupies front desk / welcome area and greets students / visitors friendly and professionally.
· Records Management
o Designs and distributes marketing materials in collaboration with CGE’s marketing department.
o Assists in coordination of extra-curricular student activities each term in collaboration with I-House
o Manages social media platform(s)
o Maintains the ELI calendar.
· Additional Duties
o Fulfills office supply orders.
o Collects business mail and distributes accordingly.
o Reserves office space and venues for events on/off campus
o Other duties as assigned.
Education and Experience Required: Bachelor’s degree and one to three years in international and/or education contexts.
Education and Experience Preferred: Master’s degree, three to five years of experience in international and/or education contexts, international admissions, and teaching English to students from non-English language backgrounds.
Knowledge, Skills and Abilities Required:
· Knowledge of and ability to use software systems (e.g. Microsoft Office, Google) proficiently.
· Ability to communicate effectively with students with limited English language skills.
· Ability to manage and prioritize tasks and projects.
· Ability to manage sensitive and confidential student issues (e.g. finances, immigration, family issues).
· Ability to think critically and utilize problem solving skills.
Knowledge, Skills and Abilities Preferred:
· Knowledge of intercultural communication.
· Ability to communicate in Spanish or a language in addition to English.
· Knowledge of Banner, SLATE, Oracle, IRIS, Sunapsis, and/or SEVIS software systems.
· Knowledge of e-marketing systems (e.g. MyEmma, MailChimp, etc.).
