The Human Resources Office Assistant – Temporary position performs a variety of administrative duties to support the Office of Human Resources. This position primarily serves to provide coverage for the front desk reception and support the classification & compensation, benefits, recruitment, labor, HRIS and general HR functions. This position works on special projects as directed by the Human Resources management team and business partners.  

Main Responsibilities:

• Front Desk Reception and General Office Duties: 
  – Ensures coverage at the front desk reception when student workers are unavailable. Front desk responsibilities include: greeting and welcoming guests, directing inquiries to the appropriate person in the office. Ensures the lobby area is clean and presentable. Answers incoming phone calls, monitors general HR inbox and directs messages to the appropriate person. Checks voicemail messages on a regular basis. Receives and distributes mail. Ensures outgoing mail is picked up for delivery. 
  – Uses TeamDynamix to distribute and manage emails/requests for assistance.
• Administrative Support: 
  – Provides general administrative support to the Office of Human Resources including but not limited to, preparing correspondence (HR newsletter, etc.), maintains office calendars and scheduling, works on special projects, maintains employee files, and arranges programs and events (New Hire Orientation). Ensures confidentiality of all information while performing tasks. 
  – Maintains HR records and files and adheres to federal and state records retention standards, including but not limited to: Maintains confidentiality of the files. Prepares new employee files, purges terminated files and maintains record retention. Answer questions about records and files.
  – Maintains and orders office supplies. Provides receipts to the Operations Finance Department for credit card purchases.
• Employment Verifications and Non-TCNJ Employee Access:

  – Completes employment verifications and forwards salary inquiries to the payroll department.  

  – Assists departments with requests for Non-TCNJ Employee access which may include updating, deleting and creating records in Cloud.

• Compensation and Classification  Support:
  – Provides assistance for compensation and classification related projects. Projects may include drafting letters for faculty promotions and BOT letters. 

• Employee and Labor Relations Support:
  – Assists the Employee and Labor Relations Manager with booking conference rooms for disciplinary and grievance hearings, special projects including distribution of letters for essential employees, distribution of PNDAs and FNDAs to unions, assistance with preparing for training sessions, filing. Other projects as assigned. 

• Benefits Support:

  – Assists with typing and disseminating benefits letters to new faculty and staff.

  – Assists proofreading and updating benefits presentations.

  – Assists with reserving rooms on campus for benefits seminars.

• HRIS Support:

  – Assists with assembly and consolidation of data in Excel or Google sheet.

Knowledge, Skills and Abilities:

• Must be able to effectively communicate with employees and supervisors, outside agencies, and the general public. Demonstrated ability and experience providing excellent customer service, strong organizational skills, time management, excellent attention to detail, good written and verbal communication skills required.
• Must be proactive in matters related to all aspects of Human Resources. 
• Demonstrated experience using independent judgment, initiative, and working with minimal supervision to coordinate competing priorities and complete work/solve problems as required.
• Ability to work with and maintain confidential information.
