The Business Coordinator I, under general supervision, provides support and coordination of a variety of business activities requiring independent judgment, including reviewing business documents and assisting in developing, monitoring, and reporting accounts and budget data as directed by supervisor. Assists with the business operations of the Information Technology department to include processing technology related purchase requests from all areas of the University, assisting with vendor research, obtaining quotes, developing requisitions, and processing invoice payments. This position is responsible for maintaining departmental records (paper and electronic), performing inventory control and tagging, assisting with budgetary reporting, and maintaining hardware, software, and support contracts. Will assist with helpdesk support by answering the departmental telephone, greeting and assisting end users as needed, and distributing support questions and work request tickets to the appropriate technician. In addition, this position is responsible for operational coordination such as developing communications materials for our end-user community and coordinating with all internal departments and external stakeholders. Duties are performed under the direction of Information Technology Services management.
Responsibilities:
Assists with the equipment inventory processes for all technology related equipment tracked by the University. Includes receiving new equipment, tracking packing slips, documenting new equipment into the inventory system, assigning department ownership, creating University identification tags, and assisting with the annual inventory survey.
Assists with the coordination of telecommunications maintenance and services requests. Assists with the telecom billing software and prepares assorted telecom reports. Assists with the processes used for hiring new staff to the department. This includes scheduling interviews, gathering and submitting paperwork necessary for processing by employee services, and assisting with the processes related to departmental payroll. As needed, assists with the scheduling of part-time employees in the department.
Maintains records of vendor and intradepartmental communications sent/received, purchase requests, vouchers, invoices, and payments. Maintains a variety of files to include those related to hardware, software, and support contracts. Maintains departmental accounts in various expenditure categories including keeping track of and maintaining records for various IT budget accounts. Prepares or assists in the preparation of correspondence and financial, budget, and inventory reports.
Oversees acquisition related activities including researching hardware and software costs, developing requisitions, gathering vendor quotes, placing of orders, prepares invoice payments, and tracking IT related orders. Interacts with personnel in other offices, as needed, to obtain information and/or provide related services on behalf of the office.
Performs other related duties as required. Participates in training and professional development activities.
Minimum Qualifications:
Education – Bachelor’s degree or equivalent combination of education and experience.
Experience – Two years of related experience.
Knowledge/Skills – Knowledge of word processing and spreadsheet applications. Interpersonal and communication skills. Planning and organizational skills.
Ability to – Ability to multitask and work cooperatively with others.
Licensing / Professional Certification – None.

Hours: Monday-Friday; 8am – 5pm. Some weekends or night may be required
Salary: $37,500
This is not a remote position. The selected candidate will be required to work on campus.
