The mission of Administrative Accounting is to protect and enhance the University’s financial resources that will best support the University as it builds leaders of tomorrow who will be shaping a changing world. The department is currently seeking to fill the position of Accountant I in order to continue the success of its mission.
Responsibilities and Duties:
Review and analyze fixed asset records for the University. Responsible for running daily reports on equipment purchases. Analyze and determine what items are to be tagged. Ensure accuracy on descriptions, capitalizable values, expense accounts to be charged, and item locations. Assign tag numbers. Input information into AIS system. Determine additional charges that need to be added to tags (ie. shipping, installation costs, trade in allowances). Record accurate break down of costs if multiple items are on purchase.
Review equipment transfer forms, trade-in forms, P-card correction forms, and Surplus Property Pick-Up forms for accuracy of information in preparation of request. Track tagging of equipment by off campus departments. Assist other Inventory Records Control Supervisor with Surplus Property issues including tracking down lost computers and retiring tags that are no longer in use.
Review 3,200 PCard transactions ($1.6M) per month for accurate coding for fiscal officer reports. Prepare journal entries for all corrections. Act as backup for import and processing of pcard batches.
Work with Accountant III with trade in costs, Construction in Process (CIP), CDB and training with quarterly C-15 reports. Will continue to take over more duties related to Fixed Assets as time permits.
Run weekly AIS reports. Maintain auditable records in written form that will be scanned into database. Correspond with department personnel to verify information on equipment purchases, getting documentation if none was supplied in the AIS system when item was purchased
