Admin Specialist – IT

This role will focus on IT and IT-adjacent Processes, requiring excellent soft skills, as well as IT reporting processes requiring an excellent understanding of excel. The screening process will include a demonstration of the user’s excel proficiency. They will report directly to the Director of IT, but will be in regular contact with team members both within the IT team and across the organization, with an emphasis on receiving and resolving or coordinating the resolution of ongoing interdepartmental IT and IT-adjacent issues and requests, depending upon the severity and the technical knowledge required. This individual will work directly with the Department head to maintain efficiency and reporting accuracy across a variety of Departmental processes, including daily and weekly reporting, inventory tracking, user reporting maintenance and scheduling of certain order requests.

• Proficiency with Microsoft office, particularly a high proficiency with excel – this will be tested as a part of the screening process of candidates.
• Excellent written and verbal interpersonal communication skills. This individual will need to be in regular communication with both direct team members within the department and interdepartmental team members.

• *Proactivity* — This role requires initiative and adaptability, and the ability to anticipate departmental needs to move forward effectively.
• Prior experience or familiarity with fundamental IT concepts preferred. More significant will be prior administrative experience and experience in interdepartmental coordination *with* an IT department. Excel experience required. Familiarity with the Real Estate Industry is a Plus. This role will have an administrative and reporting focus.

Daily responsibilities:

• Assist with documentation and organization of IT and Technology-adjacent inventory.
• Provide administrative support within the Technology team to ensure efficient operation of the department
• Receive a variety of requests from across the organization and distribute to the appropriate avenues for resolution. Provide polite and professional communication via phone and email
• Vendor Communication regarding technical support and equipment orders.
• Work directly with the organization’s IT Director and Integrations Specialist to ensure prompt resolution of ongoing issues and requests as they arise.
• Ensure operation of some IT-focused equipment by calling for repairs and maintaining equipment inventories.
• Maintain supplies inventory by tracking stock to determine inventory level and scheduling orders for certain supplies.
• Perform Data input and extraction across various documented processes and reports
• Maintain various reporting processes on a daily, weekly, and monthly basis
• Diligent documentation of ongoing responsibilities. The team member will clearly and effectively report to the Director of IT on a regular basis and will maintain clear communication with each member of the department and members of other departments when needed.
• The team member will come to understand each platform and Vendor related to the department and the role that they play across the organization in order to effectively communicate within and on behalf of the department.
• The role will involve multiple concurrent processes, and as a result, the team member will need to be able to recognize and prioritize tasks and requests based on scope and scale

Job Types: Full-time, Contract

Pay: $20.00 – $25.00 per hour
