Summary
Rhode Island School of Design (RISD) seeks a Program Operations Specialist to join the Continuing education team. The
mission of the Continuing Education (CE) Division is to educate students of all ages in art and design with high-quality accessible
programs. CE offers evening and weekend courses, workshops, lectures and summer programs throughout the year.
The Program Operations
Specialist facilitates operational efficiencies by developing and managing workflows that meet the unique needs of a dynamic and creative
team. The role organizes the planning and operationalizing of Continuing Education curriculum, both existing and proposed. The role
coordinates with instructors, CE staff, as well as various campus and external partners to compile, gather and produce the roster of classes
and related class information, i.e. descriptions, requirements, materials/supplies, logistics, and desired outcomes. The Program Operations
Specialist communicates timelines, updates and audits of team projects to ensure deadlines are met; leads the development and dissemination
of instructor communications; and serves as a point of contact and communicates with both internal and external constituents to answer
general inquiries regarding CE programs and classes. Additionally, the role enters data into CE’s curriculum manager database (Destiny
Solutions), ensuring internal planning documents are accurate and timely aligned with up to date public-facing information.

Essential Functions:
Develop and manage workflows to facilitate efficiencies throughout the department. Proactively engages with the other members of
the CE team to develop new, entrepreneurial and effective ways of working across CE. Provides administrative and logistical support to the
operational aspects of program planning.
Compile and generate rosters of classes, contacting instructors and collecting
relevant data, supply lists, etc. Input course information and data into CE’s Student Information System’s (SIS), Destiny, including
confirming all course details, materials, supplies and instructor information.
Leads the development and dissemination of
instructor communications, including, course instructor portal, supply list requirements, classroom logistics requests, teaching assistant
requests and all updates to policies and procedures.
Actively engage with program managers to understand and communicate the
operational aspects of program development including timeline, process changes, and audits of new and long-term projects to ensure deadlines
are met.
Manage all aspects of program development pertaining to curriculum data builds in the SIS. Ensure all course
details are accurate prior to publication/submission. Liaise with the Database and Enrollment Analyst to ensure all required information is
available and accurate to support successful course publishing.
Facilitates logistics and program-related activities
including room scheduling and supply coordination with other campus constituents. Ensure efficiency of the entire program planning process
as well as event and other in-person, online and hybrid programmatic initiatives.
Coordinates details for CE special events.
Facilitates on-site set-up. Orders and schedules furniture, tents, rentals, catering, signage, and other services or items for all CE
special events. Act as a central point of contact for all RISD internal offices such as Catering, Public Safety, Media Resources, etc.,
related to CE special events.
Communicates changes in offerings to CE Marketing and Communications team and Enrollment and
Student Services, including new courses, course edits, image selection, and other information that might affect public-facing websites or
student communications.
Coordinates teaching assistant assignments and onboarding. Interviews candidates, assigns them to
courses and ensures monitoring of performance. Provides general guidance and instruction to student workers and/or volunteers as
assigned.
Required Knowledge/Skills/Experience
Demonstrated commitment to working with a
diverse population of students, instructors, and staff. Capable of working independently in a database.
Demonstrated
experience and proficiency with software and systems including, but not limited to, Asana, Excel/Google sheets, Destiny Solutions, or an
equivalent student information systems.
Proven proficiency using computer software such as MS Word, Excel, Power Point,
Google, and database programs and ability to use web-based programs.
Strong project management and coordination
skills.
Must be able to work independently and as a part of a team with careful attention to detail
Associate
degree or equivalent combination of education and experience.
At least five years of progressively responsible
administrative assistant/ coordination experience.
Preferred Qualifications:
Experience with
25Live, Workday, Destiny Solutions or an equivalent SIS, and graphic design experience.
