Position Summary:
The Coordinator of Advancement Services is responsible for maintaining the integrity of the donor database, including the development and design of statistical reports and analysis that directly impacts the success of Institutional Advancement and Foundation activities. Responsible for processing daily gifts and assisting in the development of donor and volunteer pipeline through data analysis and prospect research and ultimately providing support for the fulfillment of the department’s goals. Additionally, responsible for the Foundation’s accounting and coordination with the College’s Business Office and the Foundation’s external accountants.
Reporting and Supervisory Relationships:
1. Direct reporting relationship to the Executive Director of Institutional Advancement and the Prairie State College Foundation.2. Direct supervision of student workers.
Essential Responsibilities:
1. Manage donor database including creating reports and report criteria to support fundraising activity through cooperative report development.2. Lead augmentation and clean-up of existing data sources, ensuring the accuracy of constituent data and ensure optimal use of fundraising system data for planning, statistical analysis, constituent contact, and solicitation.3. Monitor data integrity and donor trends and behaviors, data changes, constituent contact information, address accuracy, and the interrelationships of data.4. Collaborate with various systems in performing data mining and querying functions to support and significantly enhance fundraising and constituent engagement efforts.5. Collaborate with software vendor representatives to ensure data consistency and accuracy.6. Process all donations and pledges daily, including credit card transactions, gift of stock, matching gifts, gifts in kind, etc. Manage receipt of and documentation for all in-kind gifts (event-related and capital/non-capital assets) received on behalf of Prairie State College.7. Maintain the office’s College accounts payable processes including College credit card statements through interaction with the Business Office.8. Maintain the Foundation’s accounts payable and receivable processes using office software FE NXT and through interaction with the Business Office and the Foundation’s external accountants.9. Responsible for preparation of all Foundation account receivables for deposit and coordinate deposits with the College Business Office and the Foundation’s external accountants. Periodically handles a significant amount of cash.10. Prepare all Foundation invoices and track payments.11. Maintain employee giving records and prepare end of year acknowledgement to employees including payroll deduction giving.12. Work independently and as part of the Institutional Advancement and Foundation team, assists with welcoming visitors to determine needs, receives and screens departmental calls, and assist team members in departmental projects and programs. Assists with advancement events as needed with some evenings and weekends required, including interaction with donors, College leadership and alumni.13. Attend PSC Foundation meetings as assigned, helps schedule meetings as directed and takes and prepares meeting minutes.14. Coordinate with student workers and volunteers on projects as needed.15. Perform a variety of duties that are specific to the Office of Institutional Advancement and the Foundation.16. Perform other duties as assigned within the scope of the department, consistent with the role of the position.
Working Conditions/Physical Requirements:
Employee is subject to indoor work, protected from weather conditions. Work is sedentary in nature and involves exerting up to 20 pounds of force occasionally and/or a negligible amount of force frequently/constantly in order to lift, carry, push, pull or otherwise move objects.
Minimum Qualifications:
1. Bachelor’s degree in Marketing, Communications, Information Systems, Computer Science, Business Administration, or Accounting and three years of job-related experience, or equivalent college coursework, and six years of job-related experience.2. Demonstrated working knowledge of a customer relationship management (CRM) system and basic understanding of Blackbaud RE NXT and FE NXT.3. Proficient operating knowledge in the use of Microsoft, especially Access and Excel4. Demonstrated strong oral and written communication skills and excellent customer service skills and understanding that the Office of Institutional Advancement and the Foundation exists to serve the needs of the students of Prairie State College while appreciating the importance of the donor experience.5. Demonstrated successful experience working with diverse populations.
Preferred Qualifications:
1. Experience working for a community college, other higher education institution, or charitable organization.2. Alumnus of Prairie State College.3. Experience with Ellucian’s Colleague administrative system.
Anticipated Work Hours and Days:
Monday thru Friday 8a.m. to 4:30 p.m., some evenings and weekends required.
