BASIC PURPOSE: Coordinate and plan all aspects of contracted meeting and incentive group sales based on client requirements onboard. Provide client highest level of service possible during the planning of their group, ensuring that the ships are well prepared for the expectations of the group and accounting aspects are finalized, accurate and timely.
POSITION RESPONSIBILITIES:
Coordinate, service and plan group and incentive group meetings after space has been sold by the Incentive Sales Specialists. Act as main contact for all contracted meeting and incentive group business.
Create and implement a customized, unique incentive quality program by offering enhancements and ideas to our standard cruise product. Generate incidental revenue by selling wine, hors d’oeuvres, flowers, cocktails parities and all customized activities (i.e. golf tournaments, private beach parties, etc.). Research and communicate all aspects of the program.
Prepare preliminary and final ship memos outlining the details of each program (manually and through AffairWhere). Obtain proper sign-off approvals from client prior to finalization to the pertinent ship/departments. Maintain accurate records of all communications with external clients, internal departments and the ships. Including maintaining updated “Status Report” document and “Checklist.”
Conduct and maintain payment reviews and collections to ensure all funds are received and posted prior to sailing. This includes payments for cruise ticket revenue, service fees and any additional amenities or items due prior to sailing. Conduct a final review of all pricing, commission, tour conductors (TC), penalties and payments prior to sailing. Process the releasing of Letter of Credit (LOC), when applicable for charters.
Work closely with Accounting Department to ensure reconciliation is done accurately and timely upon sailing. Send final reconciliation to client. Work with Accounting Department and client to research finalize any outstanding issues.
Contact Information Technology and Charter Manager on Charters to ensure all guests are uploaded into Freestyle Connect in a timely fashion. Ensure that Charters are set up properly within Freestyle Connect prior to sailing to allow guests to receive/access their documents and accounting to process sailing. Input name changes and additions within Freestyle Connect.
Maintain open communication with CM&I Managers to ensure better service to accounts; notifying Managers of any issues that may arise and their assistance when necessary.
Conduct Program Site Inspections with clients with sold groups, when necessary, as well as tours and luncheons to assist them in coordinating their program needs.
When necessary, may sail on charters to assist with the onboard operational aspects.
When necessary, conducts IT testing for Freestyle Connect upgrades.
Perform other job-related functions as assigned.
KNOWLEDGE AND EXPERIENCE:
EDUCATION: High School Diploma or equivalent.
EXPERIENCE: 1-3 years handling and planning group reservations experience. Experience with Freestyle Connect FIT and Groups, or similar reservation system.
KNOWLEDGE & SKILLS: Good phone etiquette to provide clients with proper service for meeting and group needs onboard. Working knowledge of Microsoft Office Suite to include basic Outlook, Excel and Word. Knowledge of or ability to learn Freestyle Connect reservation system with group build and AffairWhere. Ability to work effectively with clients and suggest potential options that meet the needs for both business and client while considering consequences in revenue dilution. Organizational skills to handle groups’ files, consistently and clearly; organizational skills to maintain calendar and ensure proper follow-up. Ability to maintain solid product knowledge, services, procedures, consistent follow-through and problem-solving skills. Ability to adapt to a quickly changing sales environment; ability to shift priorities per business demands. Interpersonal skills to work effectively in a team-based environment. Excellent verbal and written command of English sufficient to support external contacts with questions/issues as well as to effectively diffuse situations whenever necessary. Knowledge of or ability to learn ship and shoreside business operations. Ability to travel onboard ships whenever necessary and work particular hours as determined by assigned region to service clients. Ability to travel to conduct ship tours, site inspections and assist with charters.
