About the Department:
The 900+ positions of the Facilities Division service the students and staff of the University’s teaching, research/administrative space and 2,240 acres of infrastructure. The Facilities Division provides design and building services, maintenance, custodial, landscape, solid waste removal, utility, mail, and motor pool services 24 hours a day, 365 days a year. The goal is to deliver cost effective services to the University, ensure completed projects and maintenance that conform to codes and regulations, while minimizing University liabilities and disruptions caused by the maintenance, repair, building, and equipment modifications to the University.
Essential Job Duties:

The Systems Steward position is a crucial role for the Facilities organization, as they will interact with users throughout the university to ensure questions and issues related to Business Systems and Analysis areas are promptly processed and solved in a timely fashion. The incumbent must have the ability to discuss individual needs with clients and communicate those needs to team members. The information provided by customers must be thoroughly transcribed and clearly written to include background and historical information. This position will provide service delivery, and collaborate with team members to resolve multiple complex issues – in some cases simultaneously. This staff member will be assisting the Director of Business Systems and Analysis to also include; Warehouse support, Fleet & Mail Services support, IT Support, AiM support, email, documentation, and scheduling the team to meet with other units when necessary. The incumbent must assist in the development and dissemination of program materials, such as presentations, training, manuals, and informational resources, and be available to step into other roles as needed.
This position will monitor and report all Project requests submitted through ReADY Request. ReADY Request is a new software product that interfaces with AiM and allows facilities and university stakeholders to have complete visibility and interaction with projects and specialized workflows. The position will work closely with Project Development Coordinator to ensure all projects are entered precisely with all necessary data and are routed to the correct department for completion, and report stalled workflows to ensure the PDC is aware of stalled requests. This position is integral to the implementation and development of ReADY Request and will need to adapt to new workflows and processes within the application as they come available, by the AiM Technical Team.
This position also provides backup support for the Customer Service Center Supervisor and Manager, Functional Manager, and Facilities Warehouse, and helps manage the AiM Helpdesk. The position’s additional focus is to enter, support, and help maintain the IPL, ASP, Emerging & Urgent, Recurring R&R, and F&A projects, and monitor the various funding data dashboards to ensure all projects are coded correctly, and duplicates are removed, scopes and estimates are accurate in the database by coordinating with University Partners, Facilities Project Managers, Deans, Directors and AVC’s as projects arise and are removed as completed. Like all employees working with the CMMS, the incumbent must know all of the diverse processes utilized by the three partner departments sharing the CMMS. (Campus Enterprises, Athletics, and Campus Health).
