The Financial Aid Assistant performs various clerical and financial tasks pertaining to the financial aid process. The Financial Aid Assistant’s duties include counseling and advising students and parents on the various financial aid programs, assisting with the administration of one or more federal, state, or institutional financial aid programs, evaluating financial aid applications in order to determine student eligibility for various financial aid programs, collecting data and keeping accurate records to process financial aid applications, and providing customer service by answering phone inquiries, assisting with walk-in traffic, and meeting with appointments.
Essential Job Functions
1. Packages financial aid offers from the various financial aid programs in accordance with established federal, state, and College guidelines.
2. Maintains knowledge of legislation and regulations governing federal and state financial aid programs, needs analysis methodology, federal tax laws, and office policies and procedures.
3. Provides assistance to students, parents, faculty, staff, outside agencies, and the general public regarding financial aid programs and procedures. Responds to public inquiries and internal requests regarding the financial aid process.
4. Ensures student and parent awareness of the various financial aid sources during counseling sessions by providing information to them and answering their questions regarding financial aid sources. Maintains a high level of confidentiality.
5. Completes verification of student files to ensure compliance with federal and state regulations, including resolution of conflicting information and SAR C Flags.
6. Assists students in the application process for financial aid by helping them to complete appropriate and required forms; by advising them of their rights and responsibilities concerning financial aid; by providing information about the status of their financial aid applications. Assists students on the use of the myWebPal financial aid module.
7. Processes requests from students for re-evaluation of financial aid files based on changes in financial or family circumstances.
8. Assists the Director of Financial Aid in the administration of one or more financial aid programs managed by the department such as reviewing and awarding institutional and Foundation scholarships; reviewing and sending correspondence to students related to Satisfactory Academic Progress standards for Title IV funds.
9. Assists the Director of Financial Aid in processing Return of Title IV Funds calculations and reconciling financial aid accounts with the College Business Office.
10. Monitors Pell Grant lifetime eligibility limits.
11. Assists with planning and facilitating presentations by the Financial Aid Office to inform the public about the various financial aid programs and associated application processes.
12. Assists the Registrar’s Office with customer service (answering phone inquiries and assisting with walk-in traffic) and in-person registration.
13. Completes skip tracing documents submitted by Department of Education loan servicers; housing verification forms submitted by federal and state agencies.
14. Responsible for the document imaging process in the Financial Aid Office.
15. Assists in the preparation of required statistical reports by collecting data and keeping accurate records on programs administered by the Financial Aid Office and by designing and revising forms as appropriate.
16. Maintains competency through self-directed professional reading, attending professional development courses, and attending training and/or courses required by the Director of Financial Aid.
