Koch Global Services is looking to hire a Sr. Administrative Partner to support the Recruiting capability. This position involves extensive contact with various levels of internal personnel as well as external customers. The successful candidate must be professional in manner and demeanor, detail-oriented and possess the ability to work with minimal supervision. The ability to maintain confidential information is a must. Of equal importance are personal integrity, a strong work ethic, strong customer and compliance focus. What You Will Do
- Maintaining and scheduling meetings through Microsoft Outlook
- Managing and drafting internal and external communications, including but not limited to: all-hands meetings, team meetings, and leadership sessions, announcements and awareness items
- Creating and maintaining email distribution lists
- Run cadence of monthly staff meetings and other important meetings, including planning agenda, organization, and follow-up on action items
- Act as a liaison, problem solver, and facilitator as the first contact for the team. Working with office support capabilities such as IT, AV, Facilities, Ambassadors.
- Reconciling purchasing card statements and preparing expense reports, review reports for approval
- Coordinating both domestic and international travel arrangements; this includes obtaining proper visas for entry into certain countries and renewing passports as needed
- Assist in supporting floor office duties such as mail distribution, shipments, identifying facilities related items, space management, and evacuation coordinator duties
- Perform an extensive array of administrative tasks such as onboarding/offboarding, supply and equipment ordering
- Event planning and coordination which includes, room scheduling, catering, and visitor management
- Providing support to additional Administrative Assistants
Who You Are (Basic Qualifications)
- High proficiency with Microsoft office tools (Outlook, Teams, PowerPoint, Word, Excel)
- Excellent written and verbal communication skills with a diverse customer base (different levels and/or global regions of an organization)
- Successful history working independently and as part of a team, bringing a positive customer focus mindset
- Strong organization skills, with ability to multi-task, prioritize, and high attention to detail
- Experience planning and executing events and managing small projects
