Institute on Aging Looking for Business Manager – CLS at San Francisco, CA  Full Time

The Business Operations Manager will support program leadership in driving and streamlining its processes. As a “coach” to their teams, s/he will play an important role in elevating the company’s financial and operational expertise. By being an expert in what works and what doesn’t, s/he will assist in shaping IOA’s next generation of contracts and “best practices” as IOA expands into new regions and populations.

Title: CLS Business Manager
Reporting Responsibility: VP of Community Living
Primary Responsibility: Responsible for oversight of the fiscal, clerical, and administrative operations of IOA’s Community Living Services in counties across California.

SPECIFIC RESPONSIBILITIES:

• Acts as primary liaison for fiscal, clerical, and administrative requests for Program
• Directors and VP of Community Living Services.
• Works directly with IOA Controller to ensure that all fiscal components of IOA’s
• Community Living Services are coordinated and integrated into IOA budgeting and accounting practices.
• Manages the distribution of administrative tasks to avoid duplication and streamline similar processes.
• Develops tracking tools and internal monitoring processes to ensure compliance with all relevant external regulatory entities.
• Acts as primary liaison between IOA accounting staff and all Community Living staff, including urgent check requests and program invoicing.
• In collaboration with Program Directors and VP of Community Living, prepares budget modifications, new budget requests, and tracks monthly program expenditures i.e CODB
• Manage the RCFE Network including engaging with Administrators, negotiating new rates/contracts, overcoming and billing obstacles.
• Creating budget and forecast leads
• Develops and oversees home and community-based services vendor network throughout the CLS.
• Responsible for optimizing RCFE Contracting, Invoicing, Billing, and Reconciliation
• Responsible for developing processes to optimize invoice management and invoice review
• Responsible for completing all developing streamlined administrative processes in collaboration with CLS operational leaders, i.e. technology, space planning, etc.
• All other reasonably related jobs as assigned.

EDUCATION:

• Bachelor’s degree or higher in Administration, Public Health, Social Work, Rehabilitation, Gerontology, Social Work or related fields from an accredited college or university.

BACKGROUND AND EXPERIENCE:

• 2 years of experience working with the frail elderly and/or adults with disabilities.
• Experience working with community case management programs preferred.
• Experience with oversight of program fiscal operations preferred.
• Intermediate level skill in using Microsoft Excel required (e.g. able to develop multi-sheet workbooks, cell formulas, conditional formatting, filter/sort, what-if analysis, etc.).
• Intermediate level skill in using Microsoft PowerPoint preferred (e.g. create new presentations, embed charts, slide transitions etc.).
• Experience working in non-profit organizations preferred.
• Detail-oriented, ability to manage multiple tasks at once, and desire to be extremely organized.
• Individual must have strong communication skills; must possess the ability to communicate effectively in writing and in person with both fiscal and clinical staff.
• Interest and ability to work in a multilingual, multicultural environment.

COMPENSATION:

Range: $72,330.66 – 91,078.76 USD Annual Salary
