The
Deputy Director provides program management and administrative oversight for the Thomas R. Pickering Graduate Fellowship Program. This
includes supporting the day-to-day operations of the program, monitoring overall grant compliance recruiting and outreach activities, and
overseeing the selection process of the Graduate Fellowship. The incumbent would report to the Director of the Pickering Program.
The
Thomas R. Pickering Foreign Affairs Program encourages the involvement of outstanding young people, particularly those from underrepresented
groups and those with financial need, in international affairs careers. The Program selects Pickering Graduate Fellows through a rigorous
nationwide competition and supports them through two years of graduate school, internships, and entry into the U.S. Foreign Service. Program

SUPERVISORY ACCOUNTBILITY:
Will provide supervision of the Pickering Program Manager their Program coordinators. They will
also be responsible for providing limited supervision for programmatic functions of the Pickering Program. Formally plans, assigns, directs,
and coordinates the work of these functions. Assists in performing staff evaluations and making recommendations regarding pay and/or
performance.
NATURE AND SCOPE:
Internal contacts include a variety of university officials, academic Deans and
Directors. External contacts include procurement vendors and various contacts from educational organizations.
PRINCIPAL
ACCOUNTABILITIES:
Administration and Operations
Assist Pickering Director in the overall management of
Pickering Program including developing, administering, and evaluating the requirements of the grant.
Provide support in strategic
planning, staffing decisions, and other key areas.
Assists in performing staff evaluations and making recommendations regarding pay
and/or performance.
Serve as back-up in the absence of Pickering Director.
Fellowship Selections
In
close coordination with the Pickering Director, manages the selection process for the Pickering Fellows including but not limited to
drafting guidance and instructions, preparing correspondence and other documents, communicating with selection panel members,
troubleshooting issues, scheduling meetings and interviews, and compiling scores, and communicating results to finalists.
Oversees
logistics for the fellow selection process, including supporting selection panel meetings and the final interview/writing exercise process,
arranging meals, organizing staff participation, and arranging and proctoring virtual writing exercises.
Works closely with Director
to manage selections programming and post-selections tasks such as completing statistical analysis and reporting, updating the website, and
drafting announcements.
Summer Programming
Works closely with Director to manage the logistics of Fellow
summer programming and alumni engagement.
Supports, arranges, and participates in summer programming including
securing and coordinating with guest speakers and presenters, and overseeing program logistics.
Outreach and Recruitment
Serve as a liaison to graduate school partners and other key external contacts.
Engage and support recruitment and
outreach efforts for the Fellowship including presenting to external audiences, traveling domestically to conduct campus visits, and
occasionally presenting at national conferences.
Program Administration and Supervision
Counsels and provides
feedback to staff, assists in selection process, and performs other related duties as assigned.
Supervises the Program Manager and
Program Assistant, Selections and Compliance.
Perform other duties as assigned.

MINIMUM REQUIREMENTS:
Bachelor’s degree
and minimum of 7-10 years of relevant experience. 14 years of related work experience may be substituted in lieu of educational
