Under the direction of the Accounts Payable Supervisor, the Accounts Payable Specialist completes general payables processing and related administrative duties. This is a non-exempt position as defined by the Fair Labor Standards Act and subject to overtime. This position is on-site, M-F.

Routine Duties & Responsibilities

• Review and maintain A/P invoice inbox and complete payables processing.
• Routing vendor invoices to project managers and/or assigned personnel for invoice approval.
• Coding invoices to appropriate G/L accounts, Matching to Purchase Orders or Subcontracts.
• Researching and correcting issues (i.e., approval delays, discrepancies, etc.) in a timely manner.
• Assuring compliance with established A/P procedures.
• Assist other team members with invoice processing and GL Coding issues.
• Routine invoice and other administrative filing.
• Special projects and other duties and responsibilities as assigned by the A/P Supervisor.

Qualifications

• A high school diploma or equivalent is required; A Bachelor’s degree or other college-level study in accounting is preferred.
• 2+ years of previous general office work experience (experience with Construction A/P department and/or accounting preferred, but not required).
• Proficiency with MS Windows, including MS Word and MS Excel (e.g. can accurately complete sum functions and calculations using Excel formulas).
• Accurate 10-key by touch (7,000+ keystrokes preferred) and demonstrated data-entry accuracy.
• Ability to work under pressure to meet deadlines.
• Professional communication skills.
• Ability to work overtime as required by the Supervisor.

Working Conditions & Physical Demands

• The Accounts Payable Specialist may routinely sit or stand for long periods of time performing normal duties.
• The Accounts Payable Specialist may routinely lift and/or carry moderately heavy objects, and work on repetitive tasks in front of a computer screen, which may strain the eyes of certain individuals, cause chronic joint discomfort, and related issues. Care should be taken to avoid back injuries, eye strain, headaches, fatigue, carpal tunnel, and related syndromes.
