Job Responsibilities:
Executes all accounting and grants management functions for federally and privately funded sponsored projects for the Hospital, Graduate School and GMP. Executes the set-up, monitoring and close-out of grants and contracts in accordance with both internal policies and procedures as well as external regulatory guidance. Analyzes grant expenditures to ensure they are reasonable, allowable, allocable and consistently applied in accordance with governmental regulations and the terms and conditions of the sponsor agreement. Compiles documentation supporting journal entries, cash draws, invoices, and reconciliations of cash, receivables, and other general ledger balances for accuracy and completeness. Creates journal vouchers with clear and detailed supporting documentation, and reviews journal voucher of staff level grants accountants. Understands and is prepared to explain purpose and content of journal voucher. Facilitates federal grant cash collection, reconciliation and reporting processes including cash draw and quarterly 272. Posts cash receipts to the appropriate general ledger and grant accounts.
Accounts for grants and contracts in accordance with regulatory guidance, institutional policies and procedures and departmental SOPs. Maintains working knowledge of governmental regulations concerning federal research grants. Maintains working knowledge of institutional policies and procedures relating to the administration of sponsored awards. Maintains Departmental SOPs to ensure all routine processes are appropriately documented.
Leads process improvement projects within and outside Financial Services, designing solutions and leveraging the Grants Management and related financial systems to meet the growing and varying needs of the research community. Evaluates system functionality to ensure maximum usage. Evaluates new modules or systems to find the best solution to meet institutional needs. Leads system implementations, upgrades and enhancements as needed. Proficient with computer systems used in the grants management process. Seeks out and participates in training opportunities for gaining knowledge and expertise in regard to available technology. Identifies opportunities for creating meaningful analyses and financial reports.
Proactively identifies opportunities to improve effectiveness and/or efficiency of accounting and reporting processes and work deliverables. Makes recommendations for improvements and increased efficiencies to existing processes. Recognizes opportunities for improvements and efficiencies. Presents process improvement recommendations to Manager, Grants Accounting. Updates departmental standard operating procedures to document new and revised processes.
Provides support in regard to managing the annual compliance audit (Single Audit) in accordance with 2 CFR, Part 200, Sub-part F as well as non-routine internal and external audits and reviews. Prepares PBC items and subsequent requests in accordance with, and within deadlines established by the Manager, Grants Accounting Compliances. Understands and is prepared to explain purpose and content of audit schedules.
Provides exceptional customer service to assigned Principal Investigators and Administrative Directors while acting as their primary resource for grants and contracts management: Serves as the subject matter expert on grants administration and compliance matters for PIs and ADs having high degree of complexity. Provides clear and accurate answers to questions posed by PIs and ADs, escalating issues as required. Monitors status of grant accounts on an ongoing basis. Compiles grant status reports for PIs. Meets with PIs to review status of their grants. Makes strategic recommendations to PIs to maximize grant revenues.
Provides operational and back-up support for Grants Accounting staff members as well as Manager, Grants Accounting. Cross-trains and provides back-up support for Manager during peak periods or absences. Cross-trains and provides back-up support for Grants Accounting staff during peak periods and when the office is short-staffed.
Performs other related duties as assigned in order to meet the goals and objectives of the department and institution.
Maintains regular and predictable attendance
Minimum Education and/or Training:
Bachelor’s degree in accounting or related field required
Certified Public Accountant (CPA) or Certified Research Accountant (CRA) preferred
Minimum Experience:
Five (5) years relevant experience required.
