Reporting to the Vice President, Major Gifts, the Manager, Administration-Major Gifts is responsible for overseeing Major Gifts team operations and providing project and administrative support to the Vice President, Major Gifts and senior level team members within the Development Office. The Manager, Administration-Major Gifts will also supervise a Project Coordinator(s). This position will enjoy the excitement of assisting the Major Gifts team in a comprehensive fundraising campaign and will collaborate with other Development Office staff, physician leadership, and donor advisors.
PRINCIPLE DUTIES AND RESPONSIBILITIES:
o Proactive calendar management handling conflicting engagements
o Coordinate meetings including scheduling, timekeeping, attending, and capturing and distributing minutes and action items with timely distribution.
o Coordinate logistics for lunch and dinner meetings, on and off campus
o Track and process team business expenses and make travel arrangements.
o Invoice and contract routing/processing
o Work collaboratively with team members to create donor reports.
o Input sensitive donor information and proposals and process team metric reports in Raiser’s Edge
o Proofread team and department related material.
o Coordinate with Donor Relations team to track stewardship activities such as thank you letters and gifts.
o Conduct and/or assist with prospect research as needed.
o Assist in planning and executing major and minor fundraising events and quarterly staff functions in collaboration with other Development Office teams.
o Partner with Vice President, Major Gifts Officers, and the Project Coordinator to ensure overall successful operation of the Major Gifts team
o Train, coach and manage Project Coordinators
o Provide bi-weekly or monthly touch-base meetings to ensure team cohesion
o Conduct quarterly check-ins and annual reviews
o Processes related to hiring new Major Gifts team members
o Manage timecard approvals each pay period, approve CTO and PTO, manage leave of absences and other payroll related duties
