Title: Administrative Assistant for Human Resources

Description:Under the supervision of the Vice President for Human Resources and Compliance, the Administrative Assistant supports the Human Resources office with a wide array of administrative functions, and serves as the first point of contact for employees and visitors who come to Human Resources. The Administrative Assistant supports the entire employee lifecycle from application to retirement. The Administrative Assistant must possess excellent customer service skills, be reliable and trustworthy.

Responsibilities:

• Support the daily activities of a fast-paced HR office in a highly confidential manner including, but not limited to: in-person and telephone reception, process mail, maintain accurate personnel files and HR records, schedule events, track employee training, data entry, craft letters and correspondence, assist with mailings, and order office supplies.
• Support employee onboarding, including the assignment of new hire paperwork through Paycom, conduct background checks, and track the completion of onboarding activities.
• Answer general questions relative to employment and fringe benefits.
• Assist with the maintenance of Paycom checklists, templates, and information necessary for employment processes. Support the campus community on Paycom software functionalities associated with employee access and fringe benefits elections, and supervisor management of employee leave time requests.
• Record HR budget expenses, draft materials requisitions, check requests and expense reports.
• Monitor departmental e-mail accounts (humres, hcremoteworkrequest); respond to general inquiries and/or forward e-mails to appropriate HR colleagues.
• Assist with the maintenance of open positions on the JazzHR Applicant Tracking System, setup search team members, post positions, and serve as a point of contact for questions regarding the use of JazzHR.
• Participate in and support HR student internship opportunities and other FlightPath initiatives as indicated in the HR Unit Plan.
• Participate in significant campus activities including, Wick Week, True Blue Weekend, and Commencement Weekend.
• Comply with all applicable College, federal, state, local and associational laws, rules and regulations.
• As a representative of the College, comport oneself in a professional manner at all times, both on and off campus.

Qualifications:Minimum requirements for this position are a high school diploma and a minimum of three to five (3 to 5) years of general office experience in a busy office environment. Experience in human resources functions is preferred.

• Knowledge of basic human resources functions and procedures.
• Knowledge of office procedures, methods, equipment and software including Microsoft Office.
• Excellent communication skills (written, oral, listening), and spelling, grammar and punctuation.
• Possesses good judgment and problem-solving abilities.
• Understand, interpret, and apply general administrative and departmental policies and procedures.
• Ability to perform a variety of office support and clerical duties in support of the HR function.
• Ability to follow direction and complete work within appropriate timeframes.
• Ability to work well in fast-paced environment.
• Ability to multi-task and be flexible.
• Demonstrated commitment to methods of improvement.
