Summary Statement:
Fairfield University seeks a Coordinator of Intersession & Special
Projects to manage the University’s Summer and Winter Session Schedule of Classes and related systems in accordance with university
academic regulations and policies and with high standards of accuracy, timeliness, and professionalism. Reporting to the Vice Provost for
Graduate, Continuing & Professional Studies, the Coordinator of Intersession & Special Projects is responsible for following best
practices for scheduling, curriculum, registration, recordkeeping, and technology. The Coordinator of Intersession & Special
Projects will be the liaison to academic departments and will utilize project management skills in implementing, maintaining and
coordinating all academic schedule activities related to the Summer and Winter Intersessions. Additionally, the Coordinator will maintain
the calendar of the Vice Provost and also work with the Vice Provost on special projects related to program research and accreditation.

Responsibilities:
Manages all aspects of the
academic scheduling process for Summer and Winter intersessions, from initial contact to Department Chairs and Schedulers to utilizing the
CLSS, EMS and Ellucian Banner or Workday SIS to enter courses and updating related webpages.
Issues faculty contracts for
Summer and Winter intersessions through the Workday system.
Collects, processes, analyzes, and maintains course information
for college/schools, departments, programs, and organizations for courses, academic events, and final exams for the Summer and Winter
intersessions
Assists Vice Provost for Graduate, Continuing & Professional Studies with professional calendar, organizing
high-level committee meetings, taking minutes in various University governance meetings
Edits and sends out the twice-monthly
graduate student newsletter, The Graduate Chronicles, in collaboration with the Vice Provost.
Assists with special projects
related to researching potential new graduate program options and accreditation.
Participates in professional development
opportunities (classes, workshops, conferences, etc.) related to job duties and office needs.
Collaborates with campus
partners to define needs, set priorities, and implement effective administrative practices through systems and business
operations.
Participates in implementation and maintenance of policies, objectives, short-and long-range
planning.
Represents the organization on various committees, task forces and at local and national
conferences.
Performs miscellaneous job-related duties as assigned.
Knowledge, Skills and Abilities
Required:
Knowledge of computerized student information systems, particularly Ellucian Banner and
Workday.
Knowledge of scheduling systems like CLSS, EMS, or other related scheduling systems.
Ability to
develop and maintain recordkeeping systems and procedures.
Strong interpersonal and communication skills and the ability to
work effectively with a wide range of constituencies in a diverse community.
Ability to gather data, compile information, and
prepare reports.
Troubleshoot technical issues with faculty and staff for a variety of student-related systems; when
necessary, coordinate with campus partners and third party vendors.
Skill in the use of personal computers and related
software applications.
Ability to communicate effectively, both orally and in writing.
Knowledge of the rules,
regulations, and laws regarding student records; scheduling and curriculum policies.
Ability to analyze and solve
problems.
Ability to develop, plan, and implement short- and long-range goals.
Ability to use project
management skills to see priorities through to completion.
Ability to maintain confidentiality of records and
information.
Ability to interpret, adapt, and apply guidelines and procedures.
Ability to make administrative
and procedural decisions and judgments on sensitive, confidential issues.
Ability to foster a cooperative work
environment.
Minimum Education and/or Work Experience:
Bachelor’s degree in related field and at least three
or more years of related experience in higher education.
Computer Skills
Proficiency with MS Office Suite,
Internet and email applications.
Experience with Ellucian Banner and/or Workday (including query writing)
preferred.
Experience with scheduling platform CLSS and room assignment through EMS preferred.
Experience with
mobile applications, social media platforms, online workspace tools, and web applications.
This position is based at
Fairfield University’s Fairfield, CT campus and is not eligible for immigration assistance.
