Additional Responsibilities Include:
– Perform data entry of new vendors and payees in the financial systems software. Request W9s when needed.
– Maintain existing vendors and payees by updating address information. Reach out to vendors directly to confirm ACH bank information and update as needed. Contact vendors paid via physical check and request ACH instructions.
– Add vendor and payee records for newly hired attorneys. Inactivate payee as employees are termed.
– Reconcile firm credit cards on a monthly basis. Clear all reconciling items and make sure all vouchers are entered so the credit card statement can be paid.
– Reconcile firm deposit accounts on a monthly basis. Clear all reconciling items and make sure all vouchers are entered. Replenish the deposit account as needed.
– Process vendor invoices on the firm’s automated Accounts Payable system. Ensure that the supporting backup complies with all internal control requirements and necessary tax requirements. Verify that payments are allocated to the proper expense or client accounts.
– Responsible for responding to firm and vendor inquiries, generally received in the AP inbox, on a timely basis. Maintain quality customer service in handling these inquiries.
– Participate in clean-up and research of invoice documentation via Postmark.
– Assist in the annual 1099 process as requested.
– May be requested to perform other duties not listed above.
What we’re looking for:
– High school diploma or G.E.D. equivalent
– At least 2 years of experience in an automated Accounts Payable environment or related environment.
– Ability to work well under pressure and meet constant deadlines.
– Ability to communicate well with all levels of administrative and legal staff.
– Excellent math aptitude.
– Proficient use of 10-key.
– Typing skills of 40 wpm.
Preferred:
– Previous experience with personal computers (Windows) and related software packages, including Excel and Microsoft Word.
– Experience in a law firm or other professional service firm.
