Job Purpose:
Coordinates and supervises the complex administrative operations of the department. Manages the departmental, foundation and grant budgets, purchases supplies and equipment, and maintains the departmental inventory. Develops and implements communication initiatives that strengthen relationships between the department and its faculty, staff, students, alumni and the College.
Minimum Requirements:
Two-year technical or community college degree and 2-years of clerical, administrative and/or communications experience or 4-years of progressively responsible office management. Supervisory, accounting, and office management experience preferred. A bachelor’s degree and successful completion of a college level geology course are desirable. Candidates with an equivalent combination of experience and/or education are encouraged to apply.
Required Knowledge, Skills and Abilities:
Requires exceptional oral and written communication skills, especially when using electronic media. Must have the ability to use MS Office products. Good organizational skills and the ability to work well with diverse faculty, staff, students and the general public. Ability to supervise and direct student employees is essential. Knowledge of website maintenance and social media marketing is important. Must be willing to learn web authoring software and help in maintaining a website. Familiarity with FERPA student privacy regulations preferred.

This position is often the point of first-contact for students and other stakeholders of the department. Must be able to demonstrate strong interpersonal skills and be able to manage the multiple needs of our diverse set of community members.

1. Serves university students and their needs; FERPA experience desired. Responds to student and faculty needs with respect to course registration. Manages course schedules and enrollments for the department. Liaises with Registrar’s staff. Knowledge of and demonstrated ability to use Banner and Cognos software required.

2. Oversees various budget accounts for the department and its programs, totaling approx. $2 million. Monitors and reconciles monthly expense reports, to ensure accurate accounting of expenditures. Assists the chair and the faculty with grant administration (~40 accounts) and special accounts assigned to the department. Liaises with Office of Research and Grants Administration staff. Purchases and monitors all departmental and teaching supplies and equipment. Verifies transactions and ensures funding is in place. Liaises with Controller’s Office, Procurement, Central Stores and grant entities to ensure compliance with all State and institutional fiscal policies and procedures. Responsible for inventory and turnover of equipment.

3. Gathers data for and prepares Annual and ad hoc reports for submission and/or presentation to the School’s and the College’s Administration.

4. Promotes and publicizes department news and events utilizing various social media and other media resources. Develops, designs and disseminates newsletters, department and faculty web pages, Facebook, Linked In, Instagram pages, multi-media presentations, and group email correspondence. Works closely with Institutional Advancement and the Marketing & Communications offices to develop marketing communication pieces, invitations, seminar announcements, press releases, etc.

5. Provides assistance to faculty, including data entry and document preparation and editing for a variety of documents. Establishes templates for grant proposals and works closely with Research and Grants to facilitate submissions and ensure application, fiscal and reporting deadlines are met. Acts as liaison to grant agencies and interprets policy/procedure as appropriate. Prepares progress reports and replies to queries.

6. Schedules special events and coordinates visits of invited department speakers with guest housing and the foundation office. Assists with scheduling travel for the Chair, faculty, and students, including the management of the departmental vehicles and the making of airline reservations and other travel needs. Liases with Procurement, CofC Foundation, travel agencies as needed.

7. Monitors and processes time sheets and work schedules for all student workers including teaching and research assistants and docents for the Mace Brown Museum of Natural History. Processes HR and budgeting paperwork for 10-30 workers per semester. Ensures initiation and processing of hiring paperwork for adjunct instructors and temporary employees.
