Under the direction of the college Business Officer, the Administrative Coordinator will serve as the human resources liaison and payroll administrator for the College of Education. Coordinates the personnel/payroll activities for all departments, providing administrative and management support and training. Contributes to process efficiency by coordinating and implementing college-wide procedures to ensure process continuity and data/transaction accuracy. Other duties as assigned.
JOB DUTIES:
40% – Essential – Administrative HR Liaison:
Manages on-boarding and off-boarding of all College of Education personnel in partnership with departmental administration. Leads and organizes HR-related responsibilities including recruitment processes, personnel actions, payroll, annual staff evaluations, etc. Prepares personnel forms, obtaining appropriate approval prior to submitting to the Office of Human Resources (OHR). Maintains comprehensive files in accordance with CU Policy. Assists the Dean in preparing reports and other action items related to the CoE personnel
30% – Essential – Recruitment:
Partners with OHR to provide recruiting support to the College of Education’s staff & faculty search committees. Assists with job descriptions, postings, interview processes and timelines, assuring that policies are followed. Provides support to search committee chair with submission of diversity reports for approval. Initiates Tiger Talent entry, assists with negotiations, background checks, approvals and hiring paperwork. Works with supervisor to assist with student employment needs
25% – Essential – Payroll Administration:
Manages the college’s payroll process for standardization, efficiency, and compliance, including special pays, recurring pay, summer pay, etc. Coordinates, oversees and enters faculty summer compensation. Serves as Lead Timekeeper, ensuring timecards and time-off requests in Kronos are in compliance and approved by the supervisor. Works with College Post Award Manager and Business Managers to determine grant pay for faculty. Processes distribution/account changes, overload pay, dual employment requests, and other payroll actions. Reviews paysheet report to ensure HR/Payroll changes submitted to OHR are accurately processed.
5% – Essential – Administrative Duties:
Performs other related administrative duties as assigned by the College Business Officer, Dean or Department Chairs.
MINIMUM REQUIREMENTS:
Education: High School or Equivalent, and relevant experience in business management, public administration, or administrative services
Work Experience: 1+ years
PREFERRED REQUIREMENTS:
Education: Bachelor’s Degree and experience in business management, public administration, or administrative services.
