This position is responsible for performing general administrative duties and coordinating special projects as needed by the Youth Learning Institute.
JOB DUTIES:
35% – Essential – Camp Registrar: Assist with administrative duties associated with summer camp, CCATS and Field Studies including communicating with parents/participants, collecting and delivering camper paperwork to the appropriate camp, working Sunday shift(s), camp t-shirts and certificates, and providing customer service to the camp directors. Process scholarship and refund requests. Collect thank you cards from scholarship recipients and send them to the scholarship donor. Keep camp evaluation data. Balance summer camp. Take out insurance on all program participants and groups for YLI Headquarters, Camp Bob Cooper, Camp Hannon and Camp Long.
25% – Essential – Program Marketing: Maintain accurate and updated database records for marketing for summer camp, CCATS, field studies, ThinkShops, and other programs as needed. Organize, manage and direct the summer camp flyer and CCATS mail-outs. Oversee the PeachJar account including maintaining knowledge of the schools using PeachJar and the cost to YLI, and manage the mail-out system. Oversee the Mail Chimp account, the Hub Spot account and any other client marketing accounts that is used. Assist with recruiting groups as needed. Attend the Marketing and Promotions meeting.
25% – Essential – YLI Administrative Assistant: Manage the rental contracts and calendars for Pickens, Sewee and Hannon. Keep accurate records of rental groups at Pickens. Assist with human resources duties including hiring, terminating, and new hire orientation. Manage the annual evaluation system for employees. Provide assistance to YLI leadership as needed. Attend A Team retreat and all other meetings as assigned. Some overnight travel required.
15% – Essential – Accounts Payable: Process vouchers/payments for all YLI sites according to CU policies and established guidelines. Works closely with site directors to collect, code and process all incoming bills. Process 10 p-cards, collects all backup documentation and processes according to procurement guidelines. Evaluates and compares monthly bills to previous bills to ensure the sites stay within their respective budget categories. Enters all expenditures into YLI accounting database to retrieve information by site and specific program.MINIMUM REQUIREMENTS:
