The Payroll Specialist reports to the controller. This person is responsible for processing bi-weekly payroll accurately and timely. They will have a strong attention to detail and ability to maintain confidentiality. This person will work closely with all departments in the organization, including human resources, finance and program staff.
Responsibilities:
· Manage bi-weekly payroll process.
· Coordinate staff pay issues for worker’s comp and Leaves of Absence.
Accountabilities:
· Process bi-weekly payroll for both salary and hourly employees.
· Review all forms related to payroll such as tax withholding, salary adjustments (merit, equity, promotion), unemployment, leave of absence, benefit deductions, and garnishments.
· Audit time sheets to ensure accuracy and proper reporting.
· Manage the I-9 process, including annual I-9 audits.
· Stay up to date on state and federal payroll and tax laws.
· Conduct payroll audits on payroll policies and procedures.
· Prepare payroll reports and reconcile payroll and benefits accounts.
· Maintain data integrity in the payroll and general ledger systems.
· Ensure all related payroll systems are in compliance with data protection laws.
· Process new hire payroll data entry.
· Manage the annual worker’s comp audit and support finance for internal control and financial audits.
· Other ad hoc duties as needed.
Qualifications, Knowledge and Skills:
· Minimum 3 years payroll and benefits experience.
· Ability to manage confidential information.
· Basic knowledge of wage and tax laws in relation to payroll function.
· Experience with an on-line automated and manual payroll systems, including automated time keeping.
· Experience with Microsoft Office; word, excel.
· Document control experience.
· Must be able to think outside the box, work independently with general supervision, be a team player, and willing to contribute beyond the defined role to meet business needs as circumstance require. Continuously identify opportunities for process improvement.
· Must demonstrate strong time management, written, analytical and verbal communication skills.
· Ability to build strong cross-functional relationships and work collaboratively.
· Strong attention to detail.
· Ability to prioritize effectively, meet deadlines, work with others and follow through to execute all tasks.
