Administrative Assistant

The Administrative Assistant reports to and is supervised by the Commission Director and plans, coordinates, and conducts the operation of the Commission Office. This position required occasional travel, including overnight and weekend work.

Requirements

• Must be able to pass a pre-employment drug test and background check.
• Must have a valid driver’s license and insurable driving record.
• Associate degree required.
• Two years experience in a related field required.
• A combination of education and experience deemed equivalent may be considered.
• Must have excellent communication skills.
• Must be skilled in QuickBooks, Word, and Excel.
• Comfortable asking questions and communicating.

General Duties Include:

• Updating and maintaining all financial information by following accepted bookkeeping practices and procedures.
• Facilitating and maintaining health benefit programs and records.
• Performing general clerical and administrative duties for the OTC.
• Other duties as assigned.
• Taking meeting minutes.
• Help with research projects.

Bookkeeping Duties Include:

• Performing accounts receivable tasks which include but are not limited to: depositing assessments, fishing vessel report, processor report, reconciling assessments against Oregon Department of Fish and Wildlife reports, tracking interest and miscellaneous income, and preparing notices of delinquent assessments and notifying dealers.
• Performing accounts payable duties which include but are not limited to: writing and entering checks, reconciling monthly bank statements, reconcile and write check to reimburse travel expenses and maintain petty cash.
• Performing monthly payroll duties which includes preparing and printing payroll checks for staff, preparing quarterly tax reports and maintaining personal time and leave records.

Administrative Duties Include:

• Providing support to the director.
• Providing customer service and assist the public, educators, and others with industry information including fulfilling orders for promotional materials.
• Answering multiple line phones and take messages as necessary.
• Participating in specific commission projects including special events.
• Organizing and maintain files in compliance with commodity commission records retention schedules.
• Preparing personal services contracts, financial assistance agreements, and similar documents.
• Word process a variety of correspondence, reports, contract, which may require some original composition.

Schedule

• Part-time approximately 20 hours per week.
• Monday through Friday.

Rate of Pay

• $20.00 – $22.00 per hour depending on experience.
• Mileage and travel expenses covered.
