1. Corresponds with teachers, school districts, families, outside agencies, medical personnel, and internal departments through email, phone, and records request, memoranda, reports, records and other documents.
2. Coordinates office activities including mail distribution, answers the telephones and operates various office equipment including faxes, copiers and scanners
3. Creates and maintains electronic filing systems for referrals, personnel and rosters, including privacy settings for confidential student folders.
4. Maintains and reviews student databases for billing accuracy, reporting discrepancies for internal review.
5. Manages referral processes including initiating and processing release of records, records acquisition and tracks completion of referrals. Logs all stages of each referral for early intervention, school age and transition.
6. Creates and updates program data including staff lists, school district lists, teacher caseloads, committees, staff seniority, staff meetings, teacher calendars and schedules.
7. Updates program handbooks, manuals and special education compliance information.
8. Keeps current with AIU internal policies and procedures and applies changes to program forms.
9. Collects, reviews and forwards for submission payroll, travel reimbursement, conference attendance, O&M reimbursement, work orders and requests for check forms from teachers monthly.
10. Processes requisitions for purchase of materials and supplies throughout the year.
11. Develops and submits board agenda items, PAF’s and agenda enclosure forms as needed for personnel activity, job postings, ISA’s, contracts, and service agreement letters.
12. Supports Orientation and Mobility instruction by maintaining documentation of certification of teachers, processing billing, arranging transportation, and purchasing, assigning and maintaining Connect Cards.
13. Prepares materials for teacher professional development days throughout the year.
14. Performs other duties as assigned.
QUALIFICATIONS:
1. High School diploma/GED required, Associate’s Degree strongly preferred.
2. Minimum of 2 years related experience within an office/school environment required.
3. Knowledge of terminology used in the processing of referrals of the blind/visually impaired
4. Skilled in the use of Microsoft Office Suite including Word, PowerPoint, Access, Excel and Outlook, and willingness to experiment and work with new technologies.
5. Intermediate knowledge of office machines (copiers, fax, telephone, etc.)
6. Minimum 60 wpm typing speed preferred.
7. Strong organizational skills.
8. Ability to prioritize tasks, work with and meet multiple deadlines with flexibility and perform other tasks as assigned.
9. Ability to effectively present information and articulately respond to questions from administrators, staff, parents, students, business and educational partners, and the general public.
10. Excellent written and oral communication skills.
11. Excellent customer service skills
12. Self-motivator, independent, cooperative, flexible, creative, and responsible.
